Operations Manager

Job Description
We are seeking an Operations Manager who will be responsible for overseeing maintenance, projects, and resident relations across our property portfolios. This role involves managing vendor relationships, unit turns, and ensuring the accuracy of property data in AppFolio, while coordinating closely with property managers and the maintenance team to ensure efficient operations and high service standards.
Responsibilities
Oversee maintenance, projects, and resident relations.
Manage the unit turn process and pricing.
Monitor and review work orders and 'waiting status' orders weekly.
Manage expenses on P&L and approve bills in AppFolio.
Spot check work quality for new vendors and ensure compliance.
Walk properties with technicians quarterly for quality assurance.
Maintain and build Turn Matrix pricing for properties annually.
Oversee asset documentation in AppFolio on a property level.
Manage AppFolio Contact Center for communication with technicians, residents, and vendors.
Approve all chase visa charges and process them in AppFolio daily.
Own vendor onboarding, including insurance verification and W9 collection.
Develop and maintain strong vendor relationships.
Assist with bid collection for capital projects, lawn care, snow removal, and large repairs.
Assist Projects Lead with Capital Improvement planning and property project scheduling.
Analyze move-out reasons and oversee AppFolio move-in, move-out, and maintenance surveys.
Manage vehicle maintenance programs, including golf carts.
Assist in scheduling and tracking fire alarm and elevator inspections and certifications.
Oversee trash pricing annually and manage the annual operating property budget process.
Lead weekly operations meetings and daily stand-ups.
Participate in quarterly pulse meetings and monthly investor interviews.
Hire and oversee maintenance and resident relations staff.
Essential Skills
Strong working knowledge of AppFolio or other property management platforms.
Exceptional organization and multitasking skills.
Effective communication with internal teams and external vendors.
Detail-oriented with a proactive problem-solving approach.
Ability to self-manage and take full ownership of responsibilities.
Basic understanding of vendor compliance, contracts, and insurance requirements.
Comfortable with field visits and physical property walks.
Additional Skills & Qualifications
10 years of experience in property management, maintenance coordination, or vendor management.
Experience with capital improvement projects and turn processes in multi-family housing.
