A professional organization is seeking a highly organized Executive Assistant to support senior leadership and the Executive Office. The role is designed for an individual who thrives in a fast-paced administrative environment, providing critical support to ensure smooth daily operations and effective executive management.

Position Overview

The Executive Assistant will work under the direction of the Sr. Executive Assistant to support the Executive Secretary-Treasurer (EST). The role involves a broad range of administrative tasks, including coordinating communications, scheduling meetings, assisting with presentations, and providing event and meeting support. This position requires a professional, detail-oriented individual capable of managing multiple priorities independently.

Key Responsibilities

Provide administrative support for the EST and Executive Office under the guidance of the Sr. Executive Assistant
Answer, assist, and triage incoming phone calls and emails
Prepare correspondence, PowerPoint presentations, and other executive communications
Make travel arrangements and manage logistics for executive travel
Arrange and coordinate meetings and events, including compiling materials and coordinating catering and setup/cleanup
Provide hospitality and support to guests attending meetings and events
Handle notifications to trustees, leadership, chapters, and other stakeholders
Occasionally provide transport for internal and external guests as required
Learn all essential functions of the Sr. Executive Assistant for backup coverage
Support special projects and other general administrative duties as assigned

Required Qualifications

Minimum of 3 years experience in an executive office or administrative support role preferred
High School Diploma required; college degree preferred
Proficiency in Microsoft Office Suite, including PowerPoint, Outlook, and OneNote
Strong verbal and written communication skills
Ability to work independently and manage a high volume of tasks with minimal guidance
Excellent multitasking, time management, and organizational skills
Ability to manage complex issues while maintaining a flexible, positive, and cooperative demeanor
Professional appearance and demeanor

$28 - $35 a year
