About Indiana Finance Authority (IFA):
The Indiana Finance Authority oversees state-related debt issuance and provides efficient and effective financing solutions to facilitate state, local government, and business investment in Indiana. Role Overview:
The Office Manager / Administrative Assistant supports the State Revolving Fund Office by ensuring the office runs smoothly and efficiently. You will work independently, perform various tasks, utilize problem solving, and provide a wide range of functions. You will also utilize web management skills by coordinating with crossfunctional teams to define website functions, timelines, and content. This includes developing and managing content.
Hours are Monday - Friday for a total of 37.5 hours each week. You will have flexibility in arranging your time between 8:00 am and 5:00 pm.
Website experience is highly valued.
Salary :
The salary for this position traditionally starts at $58,000 but may be commensurate with education or work experience.

A Day in the Life:
Responsibilities include:
Answer and screen telephone calls, respond to routine inquiries, and make appropriate referrals.
Provide administrative support to IFA's Environmental Programs Team.
Type correspondence, memos, forms, and reports.
Make copies as requested.
Deliver items or arrange for delivery of items as requested.
Create, prepare, and maintain files.
Prepare documents to send to State Records for retention.
Manage electronic files (i.e., scanning, pdf, downloads, etc.).
Appropriately distribute incoming mail and other materials.
Serve as key operator of all office machines, including performance of routine upkeep.
Maintain inventory of office supplies, equipment supplies, kitchen supplies, etc.
Coordinate website development and manage content.
Defining goals, create timelines, delegatr tasks, and coordinayr with cross-functional teams on website enhancements or new feature rollouts.
Manage trustee fee receivables.
Maintain transcript library.
Manage IFA fleet vehicles.
Complete new-hire tasks for the Environmental Programs office.

What You'll Need for Success:
Credentials:
High school diploma or equivalent. Degree in Business or Communications is a plus.
Office experience or accredited training preferred.
Ability to use current technology and social media.
Must be able to work on-site Monday through Friday for a total of 37.5 hours/weekly, with flexibility between the hours of 8am to 5pm.
Additional qualifications:
Highly organized - able to handle multiple tasks efficiently.
Office experience or accredited training preferred.
Able to exercise independent judgment within established guidelines and procedures.
Experience with Microsoft Word, Excel, PowerPoint, Outlook, Teams, CMS software, and Marketing Cloud.
Typing skills - minimum 50 wpm.
Above-average clerical skill; knowledge of English grammar, spelling, and punctuation.
Excellent interpersonal relationship skills; ability to communicate with persons of all educational and social backgrounds.
Able to perform essential functions with or without reasonable accommodation.
Supervisory Responsibilities/Direct Reports:
This role may be utilized in a supervisory capacity based on agency needs.
