Allen County Court of Common Pleas Probate & Juvenile Divisions

The Probate and Juvenile Divisions of the Allen County Court of Common Pleas are now accepting applications for the position of Executive Assistant.

Civil Service Status: Unclassified

FLSA Status: Non-Exempt (Hourly Based)

Department: 060 -- Probate & Juvenile Court

Appointment Status: Full-Time

Schedule

The payroll work week runs Thursday through the following Wednesday.

General business hours are 8:00 AM to 5:00 PM.

Scheduled hours may vary as job duties and/or organizational needs require.

Base Salary

$20.00 per hour ($41,600.00 per year)

Current employees moving from one base salary to another will have their current salary adjusted by the difference between the two base rates

This position is paid bi-weekly every other Wednesday

JOB DESCRIPTION

DISTINGUISHING JOB CHARACTERISTICS

Provides direct support to the Court Administrator in a multi-functional court environment.

Handles sensitive legal and procedural information, requiring discretion and professionalism.

Performs expanded secretarial duties to relieve management of routine administrative tasks.

Must be adaptable to the dynamic nature of court operations and case management.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Administrative Support

Manages the Court Administrator's schedule, including appointments and meetings.

Performs expanded secretarial duties to relieve management of routine administrative tasks.

Prepares and proofreads correspondence, reports, and other court documents.

Coordinates, organizes, and prepares for meetings, conferences, receptions, trainings, and other events for the Court Administrator and additional personnel as assigned.

Prepares travel applications, completes event registrations, and arranges housing accommodations for the Court Administrator, Staff Attorney, and others as directed.

Sets up and maintains confidential administrative records and files.

Represents the Court Administrator at meetings and events as directed.

Communication

Serves as a liaison between the Court Administrator and court staff, attorneys, and the public.

Answers phone calls and electronic communications and responds to inquiries, requests, and concerns promptly and professionally.

Prepares, proofs, and edits executive correspondence, memorandums, and administrative directives.

Records, prepares, proofs, distributes, and files meeting minutes as directed.

Manages the Court's social media accounts and public notifications as directed.

Court Operations

Serves as a primary fill-in electronic court reporter as needed.

Facilitates the receiving and sending of mail to and from the USPS, Allen County Inter-department mail, and Probate & Juvenile Court intra-departmental mail.

Gathers, compiles, and summarizes statistical data as directed.

Performs routine data entry and maintains records, databases, and files related to court operations.

Scans documents into appropriate electronic files and retrieves and files documents within established filing systems.

Schedules, coordinates, and facilitates tours of court facilities and community-based programs.
