Executive Administrative Assistant (onsite/hybrid) Location Notice: AgriBank is currently headquartered in downtown St. Paul. Please be aware that we will be relocating to Richfield, MN in August 2026. Position Overview The Executive Administrative Assistant provides professional, confidential, and high-quality administrative support to the Chief Human Resources Officer (CHRO) and Chief Legal Officer and General Counsel (CLO), and all members of the HR and Legal teams. This role ensures efficient operations, organized processes, and timely execution of both day-to-day and recurring responsibilities across both functions. Job Functions Executive and Administrative Support Prepare, edit, and distribute letters, memos, PowerPoint presentations, agendas, reports, and other documents for the CLO, CHRO, and HR and Legal teams. Manage and prioritize complex calendars for the CLO and CHRO, coordinating internal and external meetings and ensuring efficient use of executive time. Support HR and Legal leaders by tracking project deadlines, deliverables, and milestones. Interface professionally with high-level internal and external stakeholders regarding sensitive issues on behalf of the CLO and CHRO. Maintain electronic and physical filing systems, ensuring accessibility, accuracy, and confidentiality of corporate, HR, and Legal records. Coordinate on-site and off-site meetings, presentations, and conferences, including logistics and preparation of necessary documentation. Manage incoming and outgoing communications on behalf of the CLO and CHRO, as requested, ensuring timely follow-up and clear tracking. Assist with recurring operational cycles, including performance management, compensation planning, compliance filings, policy updates, and related activities. Coordinate audit requests, information gathering, and reporting submissions for HR and Legal, ensuring accuracy and timely responses. Provide administrative support for legal document formatting, proofing and assembly, and submission of regulatory reports, disclosures and filings. Update and maintain content on Mainstreet and other communication platforms to support timely, consistent information sharing across the organization. Board and Board Committee Support Manage logistics for board committee meetings, including calendar invites, materials distribution, and technology preparation. Prepare and distribute agendas, supporting materials, and cover memos Organize, compile, and format board-ready documents, ensuring accuracy, version control, and confidentiality. Monitor and track deliverables against the committee annual workplan, ensuring deadlines and requirements are met. Manage preparation, formatting, and publishing of board and committee materials in Diligent, ensuring accuracy, confidentiality, and timely posting according to established deadlines. Draft, edit, and finalize meeting minutes; track follow-ups,ensure timely completion of action items and maintain records. Budget and Expenses Manage timely expense report filing for the CLO and CHRO and other team members as requested. Perform administrative tasks related to developing, tracking, and monitoring department budgets. Process approved invoices and track payments to ensure accuracy and timely completion. Minimum Qualifications High school diploma 5 years of related experience in an executive assistant or similar role Or an equivalent combination of education and experience sufficient to perform the essential functions of the job Knowledge Advanced knowledge of administrative support techniques and practices Advanced knowledge of office administration processes and procedures Basic knowledge of the Farm Credit System and mission Skills Advanced proficiency with Microsoft Office Suite Advanced organizational, multitasking, and prioritizing skills and high level of attention to detail Ability to work under pressure and handle sensitive matters with tact and poise Ability to cultivate and maintain positive relationships to ensure seamless operations and communications Growth mindset with a since desire to grow and develop in a team-oriented environment Physical Requirements Prolonged periods sitting at a desk and working on a computer Must be able to lift up to 15 pounds at times The AgriBank Advantage You are the key differentiator in the marketplace and ultimately the most important factor in helping us fulfill our mission to support those who feed the world. The typical base range for this role is between $63,000 - $95,000. Compensation may vary based on individual job-related knowledge, skills, expertise, and experience.
