Northshore Technical Community College is accepting applications for a full-time, unclassified, grant funded position domiciled at the Hammond Area Campus.
This is a grant-funded position. Should the grant funds no longer be available and an alternate funding source is not determined, then the position will be terminated.

Ten (10) years related work experience in clerical, administration, student services (preferred), or a health-related field; an Associate's degree from an accredited college/university with seven (7) years related work experience in clerical, administration, student services, or a health-related field; or Bachelor's degree from an accredited college with five (5) years related work experience in clerical, administration, student services (preferred), or a health-related field.
Job Specification
The Administrative Associate & Program Success Coach provides embedded administrative, operational, and student success support for the LPN-to-RN Bridge and Patient Navigator programs on a 50/50 basis. This position integrates clerical coordination with proactive, cohort-based student success coaching to support accelerated workforce pathways. The role is program-embedded and supports recruitment, admissions, progression, retention, and completion for these high-demand healthcare programs.
Job Duties and Other Information
RESPONSIBILITIES:
Program Administrative & Operational Support
Provides administrative support for program directors and lead instructors, including scheduling, calendars, correspondence, and document management.
Maintains student records, admissions files, ranking documentation, and progression tracking in accordance with college and program requirements.
Coordinates purchasing, inventory, vendor accounts, and instructional resources specific to the programs.
Supports clinical and field placement documentation, compliance tracking, and affiliation coordination.
Assists with advisory committee logistics, meeting materials, and minutes.
Serves as a liaison with campus departments including IT, facilities, HR, and finance.
Program-Embedded Student Success Coaching & Advising
Manages a defined caseload of students enrolled in the LPN-to-RN Bridge and Patient Navigator programs.
Provides program-specific academic coaching, progression guidance, and early intervention for at-risk students.
Supports development of individualized completion plans aligned with accelerated program timelines and licensure requirements.
Monitors attendance, academic performance, and progression milestones in collaboration with faculty.
Refers students to appropriate campus and community resources as needed.
Recruitment, Admissions, and Outreach Support
Supports program recruitment efforts including information sessions, employer-based outreach, and application communications.
Assists with admissions processes including application tracking, ranking support, and prerequisite verification.
Participates in recruitment events and information sessions for the LPN-to-RN Bridge and Patient Navigator programs.
All other duties as assigned by program leadership.
Skills/Abilities/Knowledge:
1.1. Skills/Abilities: Application and intermediate knowledge of office practices and procedures. Ability to maintain a high level of accuracy in preparing and entering information. Intermediate computer skills to include spreadsheet and word processing programs, and e-mail at a highly proficient level. Have stress management skills and time management skills. Effective phone etiquette skills. Must be able to communicate effectively in both written and verbal form. Must maintain confidentiality of work-related information and materials. Must establish and maintain effective working relationships. Excellent customer service skills. Have analytical and problem-solving skills. Decision making skills. Should have knowledge of document-imaging technology.
2.Equipment Used: Personal Computer and other equipment associated with a general office environment (copier, telephone, fax, etc.)
3.Software Used: A variety of word-processing, spreadsheet, database, e-mail, and presentation software.

WORKING CONDITIONS:
The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The incumbent will be located in a busy, open area office and is faced with constant interruptions and must meet with others on a regular basis. The incumbent must spend long hours in intense concentration. The incumbent must also spend long hours on the computer entering financial information which requires attention to detail and high levels of accuracy. There are a number of deadlines associated with this position, which may cause significant stress. The incumbent must also deal with a wide variety of people on various issues.
