Deputy Clerk of Circuit Court

JOB REQUIREMENTS: Essential Duties and Responsibilities include the following. Other duties may be assigned. May act as the clerk in absence of the Clerk of Court. Maintains court records in accordance with statutory requirements exercising a high degree of accuracy and thoroughness and prepares records and reports as required. Files and receipts various case filings including Civil, Small Claims, Family, Paternity, Traffic, and Criminal; routes documents as necessary. Explains policies, procedures, interpretation of judicial orders, instructions, and forms in response to telephone or personal inquiries from plaintiffs, defendants, attorneys, employees, and the general public. Replies to correspondence regarding court matters, as required. Records and maintains cases on CCAP. Enters and changes court record events as to documents filed and activities held in court, maintains scheduled activities, and records case disposition information. Schedules and coordinates the Family Court Commissioner\'s calendar for hearings. Prepares notices to parties, distributes court calendar and provides minute sheets for Court Clerk. Attends court proceedings, records minutes of court proceedings, marks exhibits, and administers oaths. Establishes payment plans and wage assignments. Prepares documents and orders based on assigned case @type including, but not limited to: Judgments, Dismissal Orders, Judgments of Conviction, Cash/Signature Bond, Stipulations and Orders, Warrants, and other various orders as directed by the Court, for the court\'s signature; and distributes to the appropriate parties and agencies as required. Processes passport applications. Assists in jury management. Assists with scheduling court interpreters for court proceedings. Assists with preparing vouchers for witness payments, Court Commissioners, and interpreters. Keeps records on judgments, liens, satisfactions, and warrants. Processes appeal filings. Maintains records and accounting of fines and fees in various divisions including Civil, Small Claims, Family, Traffic and Criminal. Dockets restitution upon being ordered by the Court. Monitors various case lists and determines approach. Assists with maintaining the forms and supplies inventory for the office and processes requisitions and purchase orders. Assists in processing all incoming and outgoing mail. Provides back up to other case @types and the day end processing procedures. Makes bank deposit, as needed. Performs record searches for the public and provides information to the news media. Works closely with other court personnel, law enforcement agencies and other county departments. Assists with coordinating court appearances. Keeps current on statutory changes, policies and procedures, court operations and local Court rules, as it pertains to all case @types. Attends meetings, conferences and seminars as required. It is unlikely an employee will perform all the duties listed on a regular basis, nor is the list exhaustive in the sense it covers all the duties that an employee may be required to perform. Supervisory Responsibilities This job has no supervisory responsibilities. ** OTHER EXPERIENCE AND QUALIFICATIONS: Ability to learn court practices and procedures; the purpose, functions and scope of the court; and statutory powers and limitations of the court; and knowledge of legal procedures. Thorough knowledge of modern office methods and practices and ability to operate a variety of standard office equipment. Ability to establish and maintain effective public and working relationships.
