Job Title: Administrative Assistant

Job Description

The Administrative Assistant provides crucial administrative, accounting, and organizational support to a small, fast-paced Track Operations team at a confidential proving ground facility. This role is designed to relieve workload from the administrator and operations leadership by managing documentation, accounting support, filing, reporting, and day-to-day administrative needs. The ideal candidate is highly computer-proficient, organized, proactive, and comfortable working in a dynamic, hands-on environment where priorities can shift daily.

Responsibilities

Manage documentation and filing systems to ensure efficient operation.

Provide accounting support including budget tracking and accounts payable tasks.

Prepare and maintain accurate reports and records.

Support the administrator and operations leadership with administrative tasks.

Assist with event coordination, including ordering supplies and arranging logistics.

Facilitate effective communication and professionalism with international visitors and cross-functional teams.

Essential Skills

Proficiency in administrative support and data entry.

Advanced skills in Microsoft Excel and SAP.

Experience in budget tracking and accounts payable.

Strong organizational and documentation abilities.

Excellent computer skills.

Additional Skills & Qualifications

Experience with SAP or similar ERP/accounting systems.

Exposure to investigations, compliance, or safety documentation.

Experience in event or operations support.

Familiarity with a multicultural work environment.

Work Environment

The work environment is dynamic and hands-on, requiring adaptability as priorities can shift daily. The role involves interaction with international visitors and cross-functional teams, necessitating effective communication and professionalism. The position is based at a confidential proving ground facility, where the dress code is business casual, and the use of advanced technologies and systems is integral to daily operations.

Job Type & Location

This is a Contract position based out of California City, CA.

Pay and Benefits

The pay range for this position is $24.00 - $28.00/hr.

Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
