Position Description
The Administrative Services Officer 2 position provides support to the Planning and Project Management departments within NDOT. This role performs a variety of administrative tasks essential to the day-to-day operations of the Planning Division. This includes handling confidential information, coordinating meetings, managing calendars, overseeing office functions, and other related administrative duties, as required.
The Department of Transportation and Multimodal Infrastructure delivers a range of services, and the nearly 400 employees work around the clock to ensure a multimodal system that offers choice and better connects neighborhoods, residents, businesses and visitors to the place that they need and want to go to in a safe manner. These employees are responsible for over 2,200 miles of public roadways and rights-of-way, over 6,000 streets, over 300 bridges, 835 traffic signals and over 1,200 miles of bike/sidewalk lanes and much more. Big events in Nashville consist of CMA Festival, Stanley Cup Finals, Titans games, and any number of special events. These require big preparation and big clean-up, and the Nashville Department of Transportation employees are up for the challenge.
Typical Duties
Serves as the primary point of contact for an assistant director, providing administrative support for day-to-day activities.
Acts as liaison between senior staff and internal/external stakeholders.
Prepares correspondence, reports, and directives for review and signature.
Schedules meetings and manages the calendars for senior staff.
Researches and gathers data to support decision-making and planning.
Manages administrative functions, including evaluating invoices, analyzing reports, and interpreting contracts.
Prepares meeting minutes and provides technical support at monthly meetings of the Bicycle and Pedestrian Advisory Commission and related committees.
Plans and oversees special administrative projects as assigned.
Prepares and maintains accurate records, files, and reports related to the team initiatives.
Develops agendas, takes meeting minutes, and distributes notes as needed.
Fosters positive working relationships with community-led committees and commission members, elected officials, and other stakeholders
Minimum Qualifications
Bachelor's degree from an accredited college or university, and (2) two years of verifiable experience serving in an administrative or clerical role for a division/department head.

Note: Per Metro Ordinance No. SO94-1078. All employees of the Metropolitan Government shall be residents of the State of Tennessee or become residents of the state within six (6) months of employment as a prerequisite to employment with the Metropolitan Government.
Preferred Experience, Knowledge, Skills, and Abilities
Experience with administrative support in a governmental, professional or engineering setting
Direct experience handling confidential information with discretion
Proficiency with office software, including Microsoft Office Suite
Knowledge of office practices and policies.
Ability to analyze administrative problems and recommend improvements
