Job Title: Executive AssistantJob Description

This temporary role is designed to cover for a maternity leave for at least 4-6 months, with the possibility of transition if the original employee does not return. The role involves collaborating directly with high-level employees, managing travel arrangements and schedules, primarily domestic with some international travel, and handling expense reporting through Excel. The position requires providing professional and friendly service while maintaining office systems, handling communications, and performing minor personal support tasks. Preparing corporate documents, managing meeting agendas and calendars, and maintaining strict confidentiality are also key aspects of this role.

Responsibilities

Collaborate directly with high-level employees.

Organize travel arrangements and schedules, focusing on 90% domestic and 10% international travel.

Manage expense reporting using Excel.

Provide professional and friendly service.

Organize and maintain office systems.

Handle phone calls and emails.

Perform minor personal support tasks, such as running small errands.

Prepare corporate documents, including memos and PowerPoint presentations.

Prepare meeting agendas and manage calendars.

Maintain strict confidentiality.

Sustain professionalism among staff.

Adapt to new tasks as office needs change.

Essential Skills

5-7 years of executive assistant experience supporting C-level executives.

Proficiency in calendar management.

Ability to manage expense reports using Excel.

Expertise in Microsoft Suite, including Outlook, Excel, and PowerPoint.

Strong written and verbal communication skills.

Experience in travel management, primarily domestic with some international.

Additional Skills & Qualifications

PowerPoint presentation abilities.

Industry experience in technical or high-end sectors such as aerospace, automotive, oil services, or luxury goods.

Technological proficiency, particularly with PowerPoint and Excel.

Detail-oriented with a strong work ethic.

Ability to juggle multiple complex tasks.

Balance of introverted and extroverted personality traits.

Ability to articulate ideas in one-on-one settings.

Work Environment

The position is located in an ITAR Facility, primarily in the corporate office with occasional visits to other facilities. The role involves sitting outside the CEO's door, providing significant exposure to upper management. The work environment is 100% in-office, with a start time at 7 AM and flexibility required to support the CEO outside typical hours. The position offers a unique opportunity to work closely with the CEO and other executives, with an emphasis on flexibility and a commitment to completing tasks efficiently.

Job Type & Location

This is a Contract position based out of Irvine, CA.

Pay and Benefits

The pay range for this position is $48.00 - $48.00/hr.
