We're looking for an experienced Administrative Assistant with 2-3 years of customer service experience to join our mission-driven, non-profit organization. This is a hands-on, front-line role where your communication skills, attention to detail, and professionalism will make a meaningful impact every day.

What You'll Do

As an Administrative Assistant, you'll be the central hub of our office-supporting clients, staff, and operations with efficiency and care.

Welcome and check in clients, ensuring a positive and professional first impression

Verify insurance information accurately and manage intake workflows

Schedule appointments and manage calendars with precision

Handle incoming calls, emails, and in-person inquiries with confidence and empathy

Maintain accurate data entry and documentation

Safeguard confidential information in compliance with HIPAA regulations

Support general office operations, including keeping the reception area clean, safe, and organized

Adapt quickly to changing priorities while maintaining accuracy and professionalism

Travel between office locations as needed

Essential Skills

Proficiency in Microsoft Outlook, Word, and Excel

Strong verbal communication skills and polished phone etiquette

Ability to multitask under pressure while staying detail-oriented

Proven customer service experience in a fast-paced setting

Clear, professional communication-by phone, email, and in person

Bilingual in English and Spanish

Additional Qualifications

Experience handling confidential information and HIPAA compliance

Familiarity with medical records or EHR systems

Strong judgment, reliability, and follow-through

Accurate typing and strong written communication skills

Highly organized with the ability to prioritize competing demands

Work Environment & Schedule

This role is based onsite in a dynamic, high-energy environment. You may be checking in clients, verifying insurance, and scheduling appointments-all while managing incoming calls. Resilience, professionalism, and a people-first mindset are key, especially when working with individuals who may be stressed or frustrated.

Schedule: Monday-Friday, with shifts between 8:00 AM and 9:00 PM

Interviews: Available on Mondays or Wednesdays

Location: Onsite, with flexibility to travel between locations

Job Type & Location

This is a Contract to Hire position based out of Hartford, CT.

Pay and Benefits

The pay range for this position is $17.00 - $20.00/hr.

Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
