Description We are looking for a detail-oriented Administrative Assistant to support daily office operations in Solana Beach, California. This Contract position offers an opportunity to manage essential administrative tasks, ensuring a smooth and efficient workflow. The ideal candidate will be organized, proactive, and capable of multitasking in a dynamic environment.

Responsibilities:

Handle incoming phone calls courteously, providing accurate information and directing calls to the appropriate departments.

Maintain organized records and ensure all data entry tasks are completed accurately and on time.

Assist with general office duties such as scheduling meetings, preparing documents, and managing correspondence.

Serve as the first point of contact for visitors, ensuring a welcoming and attentive reception.

Support team members with administrative tasks to enhance overall productivity.

Coordinate office supplies and inventory, ensuring resources are readily available for staff.

Monitor and respond to emails promptly, maintaining clear and effective communication.

Uphold confidentiality and ensure sensitive information is handled securely.

Contribute to maintaining a clean and organized work environment.

Perform additional duties as assigned to support operational needs. Requirements - Proven experience in administrative roles, preferably in an office setting.

Strong communication skills, both verbal and written, with a detail-oriented approach when handling phone calls.

Proficiency in data entry and familiarity with office software applications.

Ability to manage multiple tasks efficiently and prioritize workload.

Excellent organizational skills and attention to detail.

Capability to work independently and collaboratively within a team.

High level of discretion when handling confidential information.
