Job Description:
The Missile Solutions Segment of L3Harris Technologies is seeking a Senior Executive Assistant to support our functional segment exective leadership team at our Headquarters in Melbourne, FL. The Senior Executive Assistant is a key member of the team, providing essential administrative support to ensure smooth and efficient functioning of the department and the site. This role requires a highly organized, detail-oriented individual with excellent written and verbal communication skills and the ability to manage multiple tasks simultaneously.
Essential Functions:
Under minimal supervision, performs a variety of executive administrative support duties that are complex in nature and where judgment and initiative are required in resolving problems and making recommendations.
Provide administrative support to the leadership team, including scheduling meetings, proactively managing calendars, and coordinating travel arrangements.
Assist in the preparation and editing of reports, presentations, and other documents as needed, ensuring all documentation is accurate and up to date.
Support the implementation of office policies and procedures and assist in monitoring compliance.
Coordinate logistics for internal and external events, including high-level visits, conferences, site tours, workshops, and training sessions.
Process expense reports and invoices and assist with budget tracking and financial record-keeping.
Serve as a liaison between the leadership team and other internal teams, as well as external partners and vendors while maintaining confidentiality and diplomacy.
Perform data entry and maintain databases, ensuring the integrity and confidentiality of information.
Support general office duties, including ordering and stocking of office supplies, drinks, food, and snacks in support of site operations/meetings/routine business.
Assist with special projects and perform additional duties assigned by leaders.
Up to 15% business travel to support L3Harris events and VIP visits as needed.
Weekly compensated overtime may be required as this is a non-exempt position.
Ability to obtain U.S. Security Clearance.
Qualifications:
High School Diploma or equivalent and a minimum of 10 years of prior relevant administrative experience or 2 years post-Secondary/Associates Degree with a minimum of 6 years of prior related administrative experience.
4+ years' experience with Microsoft Office tools, (Microsoft Word, Excel, PowerPoint, Outlook, Teams and Zoom.)
2+ years experience as Senior Executive Assistant required.
Preferred Additional Skills:
Excellent verbal, written and interpersonal communication skills, with ability to effectively communicate with all levels of management and individual contributors.
Ability to manage multiple tasks and prioritize effectively through frequent interruptions and critical time constraints.
Proactive problem-solving skills and a strategic mindset.
Experience with SharePoint administration, Concur/SAP, ARIBA and Envoy preferred.
Prior Aerospace & Defense Industry experience.
Demonstrate high level of maturity and confidentiality relating to sensitive information; to include maintaining sensitive documents/files for leaders.
Effectively work as a team member; successfully establishing and maintaining cooperative working relationships.
Provide guidance and mentoring to other assistants.
Strong organizational skills, attention to detail, and ability to manage multiple tasks under critical time constraints.
Experience in project management, including planning, monitoring, and resolving issues.
