Leads development of academic calendars, course schedules and procedures. Analyzes statistical data on registration for administrative use in formulating policies. Interprets registration policies for faculty and students. This position is responsible for the management of academic records for students in the PharmD, MLS, and OT programs. This position is responsible for course registration, maintaining official student academic records, tracking student progression, degree clearance and verification of degree completion. This position works closely with students, the Office of Student Services, the Office of Experiential Education, instructors, classroom management services, and other administrative support personnel within the College of Pharmacy. All duties are across the MLS, OT, and PharmD programs unless otherwise stated. Duties and Responsibilities Registrar - 70% Oversee collegiate course scheduling and registration processes Serve as the lead for academic policies and processes tied to block enrollment, curriculum management, graduation clearance, and grading Oversee student academic records Develop, implement, and maintain standard procedures to address common student records processes and issues. Maintain student academic records and tools, ensuring fidelity of records in PeopleSoft and Slate Complete registration for students. Keep accurate records of each student's registration and student status and ensure appropriate tracking. Implement and manage block enrollment of current PharmD and OT students, and complete registration reviews each term to ensure student compliance with required coursework. Manage the enrollment holds for students on leave of absence and re-enrollment of students separated from the college for extended periods of time Manage and notify students of enrollment holds on their academic record and assist students on the removal of these holds when necessary Responsible for troubleshooting and responding in a timely manner to all problems that arise related to registration Assist instructors in entering final grades in the Peoplesoft system as necessary. If problems arise, work with ASR to provide solutions. Guide course directors on University grading policies Serve as a backup to the Assistant Registrar regarding academic and semester calendars. Develop the curriculum schedules with input from appropriate people. Provide ongoing analysis of schedule and suggestions for efficiencies Create and manage each semester's meeting pattern in CCS Partner with the Duluth campus Office of the Registrar to ensure accurate course information is available for College of Pharmacy, Duluth students Create, update, and maintain course information in the University's course catalog (Coursedog). Manage and maintain directed study courses each semester Manage classroom reservations for the College of Pharmacy Serve on Academic Health Sciences or University committees as requested Student Progression and Academic Reporting - 25% Communicate on a regular basis with the Office of Student Services and program directors regarding student progression In partnership with the program directors and Academic Standing Committee chairs, serve as the lead for policies and processes tied to progression and academic standing. Ensure that all requirements are met before a student progresses to the next level of the program. Clear students for degrees, determine distinction, and ensure degrees are posted on transcripts. Provide verification and communication to the relevant licensing/governance boards for each program Serve as the administrative lead for program Academic Standing Committees. Establish meeting dates; coordinate agendas; record and distribute minutes; manage meeting logistics; and manage archive of meeting minutes, historical data, and summaries of committee decisions/recommendation Miscellaneous - 5% Professional development Other duties as assigned Required BA/BS plus 6 years of related experience, or masters degree plus at least 4 years of relevant experience Understanding of complex course systems software Excellent communication skills, both oral and written Excellent organizational skills and attention to detail Demonstrated ability to work within and across teams Preferred Previous experience with PeopleSoft, Coursedog, CCS Previous experience with all levels of education-undergraduate, graduate, and professional Previous experience working in a large, complex department/organization Experience with database management programs, web management, and web portals Working Conditions Office environment/no specific or unusual physical or environmental demands. This role is offered as a hybrid position (some combination of onsite and remote) where you are required to be onsite at our Twin Cities-based or Duluth-based campus on a regular basis.
