Description

This position is responsible for a variety of administrative and clerical duties to support the Fire Chief and Fire Department operations including word processing, data entry, document preparation, filing, and the use of spreadsheet software as well as specialized fire and emergency services software. Serves as a primary point of contact by answering phones, greeting visitors, and providing general information to the public.

Examples of Duties

Answers telephone and receives general public; provides information for citizens regarding Fire Department.

Maintains strong relationships with management, departments, elected officials, media representatives, peer agencies and members of the community to ensure that relevant and timely issues are being addressed.

Writes, designs and produces print and digital publications and news releases to educate and inform stakeholders on City programs, services and performance.

Helps assess the communication needs of the department including preparing speeches, preparation of staff for on-camera updates, and conducting radio interviews as directed by supervisor.

Assists City staff and members of the public in media and community relations as directed by supervisor.

Word processing of correspondence, reports, memorandums, and minutes of meetings.

Establishes and maintains department filing system, office records and inventory of office supplies.

Assists in managing Department budget and assigned General Ledger (GL) items.

Maintains appointment calendar for the Fire Chief and Fire Department including employee training, department training, public events, etc.

Prepares and mails letters, reports, and forms as required.

Prepares Request for Quotations (RFQs) and Request for Proposals (RFPs) according to department and City procedures, including specification development and bid letting.

Administers and computes timesheets for all employees assigned.

Compiles and assembles material and information for reports and other documents.

Typical Qualifications

Knowledge, Skills, and Abilities: Skill in typing, filing, word processing, spreadsheets, and data entry. Knowledge of modern office equipment, techniques, and procedures. Ability to schedule, organize and complete a variety of work activities. Ability to communicate with other city employees, officials, and the general public.

Education, Certification and Experience: High school diploma or GED required. Two years of verifiable secretarial experience with a medium-sized company or private employer preferred. Two years with a business or vocational secretarial training certificate preferred. Bilingual skills preferred. Valid Driver's License required. Must obtain a Kansas Driver's License within 90 days of establishing residency.

Supplemental Information

Environment: Work performed in an office environment or where temperature, contaminants, and noise are not normally encountered; hazards are minor and controllable.

Physical Characteristics: Lifting up to 25 pounds and carrying up to 10 pounds.
