Job Title: Administrative Assistant (Payroll / ADP) Location: Mulberry, FL Job Type: Full-time Schedule: Monday-Friday | 8:00 AM - 4:30 PM (Overtime, weekends, and holidays as needed)

Position Summary Road & Rail Services is hiring an Administrative Assistant in Mulberry, FL to support site operations with a strong focus on payroll processing, data entry, reporting, and document control. This Administrative Assistant role is ideal for someone who takes pride in accuracy, meets deadlines without being micromanaged, and understands that payroll and administrative tasks directly impact the success of the entire team.

This position handles sensitive information and corporate deadlines, so we're looking for an Administrative Assistant who is dependable, detail-oriented, and professional in both communication and execution.

What You'll Do In this Administrative Assistant position, your main responsibility is keeping our admin and payroll functions organized, accurate, and on time. You will process payroll in ADP, perform data entry, maintain employee documentation, and support reporting needs for the site team. You may also be asked to operate a company vehicle safely when required, and you'll be expected to follow all Road & Rail safety policies while working in and around active operations.

Key Responsibilities

Process payroll in ADP (including corrections, reporting, and supporting documentation)

Perform accurate data entry and keep records updated and organized

Maintain administrative files and compliance paperwork (electronic and hard copy)

Coordinate with managers and team members to meet deadlines

Maintain consistent attendance and flexibility based on workload needs

Follow all safety rules, customer requirements, and company policies

Safely operate company vehicles as needed

Requirements (Must Have) To be successful in this role, you must have previous payroll and administrative experience. This Administrative Assistant position requires strong attention to detail and confidence working in Excel.

Minimum Requirements

1+ year of administrative assistant / office experience

1+ year of ADP payroll processing experience (required)

Microsoft Office proficiency (Excel required)

Typing speed of 30 WPM or higher with minimal errors

Bilingual proficiency required

Valid driver's license

Ability to meet all Conditions of Employment policies

Work Environment This role is primarily office-based, but may require occasional outdoor work in varying weather and the use of PPE as required. Candidates must be able to hear and respond to verbal safety instructions, and must have normal vision including depth perception and peripheral awareness.
