Description

A well-established organization in Encinitas is seeking a highly polished Executive Assistant to provide comprehensive administrative and strategic support to senior leadership. This role goes beyond calendar management - it requires discretion, strong judgment, and the ability to anticipate needs in a fast-paced executive environment. The Executive Assistant will act as a trusted partner, ensuring leadership can operate efficiently and remain focused on organizational priorities.

Key Responsibilities

Manage complex executive calendars, scheduling meetings across multiple time zones

Coordinate internal and external meetings, including agendas, materials, and follow-ups

Prepare correspondence, reports, presentations, and executive-level documentation

Serve as a gatekeeper for executive communications, prioritizing emails and requests

Coordinate travel arrangements and detailed itineraries

Handle confidential and sensitive information with discretion

Support special projects and strategic initiatives as assigned

Liaise with senior leaders, clients, and external partners

Requirements

5+ years of Executive Assistant or senior administrative experience

Experience supporting C-level or VP-level leadership

Exceptional organizational and time-management skills

Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)

Strong written and verbal communication skills

Ability to work independently, anticipate needs, and problem-solve

High level of professionalism, discretion, and reliability
