Administrative Assistant

Make an impact behind the scenes. We're seeking a proactive, detail-obsessed Administrative & Executive Assistant who loves coordinating complex schedules, keeping leaders organized, and turning moving parts into smooth operations. If you thrive on project coordination and high-trust administrative work, this role is for you.

What you'll do

Maintain assigned calendars and coordinate complex schedules for leaders and teams.

Schedule, organize, and confirm meetings; manage logistics end-to-end.

Print and distribute meeting packets and materials to stakeholders.

Create and process expense reports; track approvals and reconciliations.

Draft and format correspondence, forms, reports, graphs, and visual presentations.

Place catering orders and oversee on-site meeting support.

Capture accurate meeting minutes and publish follow-ups.

Develop, format, and distribute information to internal and external stakeholders.

Order and maintain department supplies; manage inventory.

Coordinate travel requests and arrangements (airfare, hotel, rental cars, registration).

Update organization charts; manage an effective filing system.

Create, submit, and track departmental training requests and other documents to completion.

Provide professional front-line support: field calls, greet visitors, and direct inquiries.

What you'll bring

Project coordination & administration expertise-you manage timelines, dependencies, and details with ease.

Exceptional written communication with polished, professional tone.

Meticulous attention to detail and strong organizational skills; you prioritize effectively and meet deadlines.

Sound judgment and the ability to handle confidential and sensitive issues with tact and diplomacy.

Technical fluency: proficiency across Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Typing speed of 40 wpm and comfort with general office machines.

Education: High school diploma or equivalent.

Bonus: Knowledge of medical terminology (preferred).

Job Type & Location

This is a Contract position based out of Fairfield, CA.

Pay and Benefits

The pay range for this position is $25.00 - $25.00/hr.
