What Success Looks Like In This Job
Under the direction of the Business Services Supervisor in the Facilities and Fleet Management Department, the Facility Operations Coordinator serves as the central point of coordination for facility maintenance requests and facilities-related customer service operations across multiple County locations. This position ensures that service requests are efficiently logged, routed, and completed through the County's work order system while providing responsive and professional customer service to both internal staff and external partners.
This role will provide County switchboard support and front desk coverage, as well as support administrative department functions. Success in this position requires a high level of organization, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
The anticipated hiring range for this role is $60314.82 - $69362.04. The full salary range for the role is $60314.82 - $84440.75.
Examples of Duties for Success
Customer Service and Switchboard Support
Provide front desk coverage, greeting visitors and directing them appropriately.
Answer and route calls through a multi-line phone system, ensuring courteous and efficient communication.
Respond promptly to inquiries by phone, email, and in person regarding County services and general County information.
Maintain professional and friendly service as the first point of contact for Facilities and Fleet Management.
Coordinate and Dispatch Work Orders
Serve as the primary point of contact for facility service requests across all County buildings.
Receive, prioritize, and route incoming work orders through the County's computerized maintenance management system (CMMS).
Communicate with maintenance staff, vendors, and customers to schedule, monitor, and ensure timely completion of service requests.
Track status updates and follow up with requestors to confirm satisfaction and work order completion.
Communication and Information Management
Serve as liaison between facilities staff, contractors, and building occupants to ensure clear communication of work status and expectations.
Maintain and update records of service requests, maintenance logs, and operational metrics for reporting and analysis.
Maintenance Coordination Across Multiple Locations
Communicate with site contacts to coordinate technician visits, building access, and preventive maintenance schedules.
Support logistical planning for equipment deliveries, contractor scheduling, and service coverage during staff absences or emergencies.
Administrative Support for Facilities Operations
Provide administrative assistance to support daily operations, including scheduling meetings, maintaining calendars, and preparing correspondence or reports.
Maintain organized digital and paper filing systems related to facility maintenance, service contracts, and operational documentation.
Assist with purchase orders, invoice processing, and budget tracking for facility maintenance activities.
Departmental Support and Coverage
Support departmental projects and initiatives, such as updating maintenance procedures, testing new systems, or assisting with safety and compliance documentation.
Perform other related duties as assigned
Qualifications for Success
Strong organizational skills with ability to manage multiple priorities and follow through on tasks.
Excellent communication skills, both verbal and written, with a focus on professionalism and customer service.
Proficiency with general office software (e.g., Microsoft Office Suite).
Familiarity with or the ability to learn computerized maintenance management systems (CMMS) software.
Ability to read and interpret maintenance work orders, service schedules, and basic technical information.
Sound judgment in assessing priorities and resolving routine operational challenges.
Dependability, discretion, and ability to handle sensitive or confidential information appropriately.
Strong attention to detail, accuracy, and follow-through.
Ability to work collaboratively and maintain positive working relationships with staff, contractors, and the public.
More Qualifications for Success
Experience:
Minimum of three (3) years of administrative, customer service, or Facility Operations experience.
Experience in facilities operations, maintenance coordination, or call center environment is preferred.
Bilingual candidates with the ability to speak Spanish is also preferred. Bilingual candidates may receive an additional incentive based on proficiency and use.
Education & Training:
High school diploma or GED equivalent is required.
Coursework or certification in office administration, facilities management, or a related field is preferred.
License or Certificate: Possession of or the ability to obtain a valid Colorado Driver's License and access to reliable transportation
