Job Description Summary
The Graduate Coordinator provides administrative support for the graduate program in the Department of Sociology. This role includes coordinating graduate admissions and hiring processes, advising students on academic matters, managing curriculum logistics, and serving as a liaison between the department and university offices. The position also supports the Graduate Chair and Department Administrator, maintains program records and communications, and assists with international student documentation and program tracking.
Job Description
Penn Sociology is one of the top sociology departments in the country, with more than twenty award-winning, distinguished faculty recognized for their scholarly achievements and leadership in the field, and approximately 50 graduate students pursuing Ph.Ds. at any given time . Our diverse faculty, post-doctoral fellows and students pursue research on crucial topics such as race, class, gender, reproductive rights, immigration, and health, among others, the department is a dynamic and exciting place to work.
The Graduate Coordinator is responsible for high-level administrat ive support for the graduate program in sociology .
Job Responsibilities
Coordinate administrative aspects of the graduate program.
Advise graduate students on academic programs and provide support with course registration and curriculum planning.
Assist in coordinating hiring for graduate students and other logistics . Have a good understanding of the protocol surrounding personnel actions.
Administrative Support to Graduate Chair and Department Administrator. Assist with tracking deadlines, coordinating travel, as necessary.
Serve as liaison between Sociology Graduate Chair, students, the Graduate Division office and the Office of International programs and University .
Assist international students with forms, letters, visas, housing, OIP and Federal requirements.
Assist the Department Administrator in the distribution and development of relevant graduate content for department website.
Manage the Graduate curriculum and support chairs' overall academic and curriculum planning.
Coordinate MA and PhD exams, set up meeting , appointments, dissertation defenses, process and deposit all forms necessary for awarding degrees .
Maintain departmental communications including sending out email notifications, updating the departmental website and managing the departmental newsletter.
Admissions: In coordination with graduate chair, manage all aspects of the admissions process for Masters and PhD students. Including organizing s tudent recruitment events.
Tracking. Keep accurate Graduate program statistical data for outward reporting.
Monitor and support student and TA activity.
Qualifications
High School degree with 5-7 years of experience, or equivalent combination of education and experience, is required . Bachelor's or Master's Degree is strongly preferred.
Exceptional ability to calmly and professionally execute in a fast-paced environment with frequent interruptions.
Excellent organizational skills including previous experience with small and large scale event planning.
Ability to set and adjust priorities, learn new information quickly, be proactive and take initiative in problem solving while knowing when to delegate.
Ability to work successfully both independently and as part of a team.
Strong writing, proofreading and professional communication skills.
Must have comfort with an environment where we try new approaches .
Preferred candidates will have demonstrated cultural competencies and communication skills necessary to address a wide variety of questions from a varied and sophisticated audience.
Previous experience using Microsoft Office (Excel, Access, PowerPoint) necessary.
Experience with Concur and BEN Financials preferred.
Experience with CLSS, Curriculum Management software , DegreeWorks and WorkDay a PLUS .
Ability to work on-campus full-time. This is not a hybrid position.
