Job Title: Sr. Administrative Assistant

Reports To: SVP/GM, Cole-Parmer & Digital Innovation

Position Location: Vernon Hills, IL

FLSA Status (Exempt/Non-Exempt): Non-Exempt

Position Summary:

The Sr. Administrative Assistant will provide comprehensive administrative support to the executive leadership team. Administrative support tasks associated with this position are broad in scope and require demonstrated independent judgment and strong organizational skills. The ability to adapt to constantly changing demands, take on new and unfamiliar tasks, and work collaboratively with others is critical.

Key Responsibilities:

Provide administrative support to the executive leadership team

Submit and reconcile expense reports

Manage multiple executive calendars

Organize domestic and international travel arrangements for the executive and/or team members.

Organizing and supporting staff meetings, teleconferences, off sites, and other events.

Assist with internal and external meeting preparations (i.e., draft agendas, PowerPoint, catering).

Provide administrative support to leadership as needed in preparation for presenting information to the Board of Directors. Gather materials for upcoming Board and Committee meetings.

Assist with, and when necessary, coordinate quarterly Town Hall meetings, vendor/annual conferences, company meetings and events

Education:

Associate degree in Business Administration or related area preferred

Experience:

5+ years of previous executive administrative support experience required

Minimum Requirements / Qualifications:

Expert knowledge of Microsoft Office products and demonstrated PC skills.

Professional, polished and willing to provide the highest level of customer service.

Proven ability to handle confidential information with discretion. Sound judgment and integrity.

Strong analytical and problem-solving skills.

High level of initiative, effort, leadership, and commitment towards completing assignments efficiently and anticipating executive needs.

Excellent interpersonal skills; sensitivity to needs of others

Thrives in a fast-paced, collaborative environment, efficiently works under pressure, within deadlines or other time essential constraints

Excellent communication skills, both written and verbal, to clearly and concisely communicate to all levels of the organization

Strong work ethic and an ability to excel within a rapidly changing and growing organization

Compensation & Benefits:

Salary Range: $60,000-$75,000, depending on location, experience, and qualifications.
