Job Title: Administrative Assistant - Senior Leadership Support

Location: Mason, OH

Hours/Schedule: Monday - Friday, 8 am to 5 pm

Pay Range: $25 - 29.60/hr

Type: Contract

Overview

We are seeking a proactive and detail-oriented Administrative Assistant to provide direct support to senior leadership. This position plays a key role in ensuring smooth operations through expert calendar management, meeting coordination, travel planning, and procurement oversight. The ideal candidate thrives in a fast-paced environment, takes initiative, and delivers high-quality administrative support with minimal supervision.

Responsibilities

Manage and coordinate complex calendars for senior leaders, prioritizing and resolving scheduling conflicts.

Monitor, organize, and respond to emails on behalf of leadership; ensure timely follow-up on important communications.

Schedule and coordinate both virtual and in-person meetings, ensuring appropriate logistics, materials, and technology setup.

Arrange travel itineraries, including flights, accommodations, and transportation, ensuring compliance with company policies and cost efficiency.

Create and manage purchase orders for team members, maintaining compliance with procurement and budgeting procedures.

Maintain accurate records of purchases, expenses, and departmental documentation.

Draft, edit, and prepare correspondence, reports, and meeting materials.

Provide additional administrative support to leadership as needed.

Qualifications

Must Have

High school diploma or equivalent; associate's or bachelor's degree preferred.

Proven administrative experience, ideally supporting senior leadership.

Proficiency with Microsoft Outlook and Microsoft Teams.

Strong organizational skills, attention to detail, and ability to multitask.

Demonstrated learning agility and ability to adapt to new systems and processes.

Strong sense of ownership and accountability; able to work independently.

Nice To Have

Experience with Coupa or similar procurement software.

Familiarity with travel coordination and expense tracking.

Ability to manage competing priorities in a dynamic, fast-paced environment.
