Description

We are seeking a highly organized, proactive Executive Assistant to support our executive leadership team. The ideal candidate will be a strong communicator, exceptional at managing schedules, and deeply organized. This role will ensure executives' time is optimized, communications are handled smoothly, and administrative operations run seamlessly.

Key Responsibilities

Manage complex executive calendars, schedule meetings and travel, anticipate conflicts, and coordinate logistics for internal and external meetings.

Serve as primary point of contact for calls, emails, and correspondence. Draft and proofread communications while maintaining professionalism and confidentiality.

Prepare agendas and materials, take notes, track action items, and ensure timely follow-up.

Coordinate travel arrangements, itineraries, and expense reporting.

Maintain organized filing systems, contact lists, and records; perform research and data gathering as needed.

Assist with special projects, event coordination, and general administrative tasks to help executives meet deadlines and priorities.

Requirements

3-5 years (or more) experience as an Executive Assistant, Administrative Assistant, or similar role supporting senior leadership.

Excellent verbal and written communication skills.

Strong organizational, time-management, and prioritization skills; ability to handle multiple tasks under pressure.

High level of discretion, integrity, and confidentiality.

Proficiency in calendar tools (e.g. Outlook, Google Calendar) and standard productivity tools (e.g. Microsoft Office/Google Workspace).

Ability to anticipate needs, be proactive, and work independently with minimal supervision.

Experience coordinating travel and expense reporting.

Familiarity with virtual meeting tools (Zoom, Microsoft Teams, etc.).

Experience in a hybrid or fast-paced work environment.
