Administrative Support Coordinator
Position Overview
We are seeking a proactive and detail-oriented Administrative Support Coordinator to join our customers team. This multi-faceted role is ideal for someone who thrives on helping others succeed, enjoys learning new systems, and takes pride in keeping operations running smoothly. The coordinator will serve as the operational backbone of the company, supporting multiple departments and ensuring efficient communication and documentation.
Core Responsibilities
Administrative Support
Answer incoming calls and handle customer inquiries with professionalism
Qualify leads and schedule appointments
Prepare weekly reports and organize company information
Purchase office supplies as needed
CRM Management & Support
Master and teach Acculynx CRM system functionality
Support team members in effective CRM usage
Assist with CRM data entry, tracking, reporting, and troubleshooting
Ensure consistent CRM usage across departments
Departmental Assistance
Accounting Support: Assist AP/AR Specialist with administrative tasks and financial documentation
Sales Support: Coordinate with Sales Manager, prepare documentation, support lead qualification, appointment scheduling, and maintain sales records
Production Support: Assist Production Manager with administrative tasks, roof measurement reports, and subcontractor documentation; ensure insurance compliance
Operational Support
Assist with onboarding employees and subcontractors
Help develop and refine company systems
Ensure company-wide compliance
Facilitate cross-departmental communication and documentation
Documentation
Help draft policies and procedures
Maintain accurate documentation for insurance, bonds, and warranties
Professional Development
Attend industry conferences and participate in training events
Key Skills & Qualifications
Technical Skills
Strong proficiency with Acculynx CRM (or similar systems)
Comfortable with Google Workspace, Microsoft Office, Company Cam, and measuring/estimating tools
Accurate data entry, reporting, and documentation
Ability to navigate multiple systems and platforms
Communication Skills
Professional, friendly phone manner
Excellent written communication for emails and documentation
Effective cross-departmental communication
Patience and clarity when training teammates
Organizational Skills
Strong attention to detail and accuracy
Ability to multitask and manage priorities efficiently
Excellent time management and report preparation
Experience supporting compliance, insurance, and documentation processes
Administrative Skills
Lead qualification and prioritization
Scheduling coordination for various team members
Maintaining organized records
