Job Summary: Southern Company is seeking a dedicated and detail-oriented Administrative Assistant to provide comprehensive administrative support to the Plant Gaston Warehouse, Planning, and ECO Departments. The successful candidate will perform a variety of tasks to ensure efficient operations and support.
Key Responsibilities:
Provide administrative support to the Warehouse, Planning, and ECO department.
Perform timekeeping and attendance reports.
Process employee expense reports for covered and non-covered personnel using Oracle.
Manage filing systems and order office supplies.
Coordinate travel arrangements.
Actively support community activities.
Schedule and coordinate logistics for meetings, including but not limited to reserving applicable conference rooms and catering meals.
Gather data, compile information, and prepare reports.
Maintain departmental record retention.
Support plant and department safety initiatives.
Serve as contact for vendor regarding copier/printer repairs.
Update Arcos to reflect vacation, time off, and update call-out list weekly; prepare and distribute quarterly and yearly reports for the Warehouse.
Order flowers for sickness or bereavement for time groups.
Serve as FMLA contact for Warehouse, Planning and ECO time group.
Serve as prescription safety eyeglasses coordinator for E C Gaston plant employees.
Scan Quarterly Assessment documents for SOX reporting (monthly reservations).
Electronically Scan, File, and maintain purchase orders, freight invoices and miscellaneous warehouse documents.
Support EDC, prep for meetings, assist with calendar, order and cater meals.
Verify Labor Rate time entry for onsite contractor (ABM).
Maintains job posting boards and update covered employees with new job vacancies and awards.
Maintain and update the Training budget (10.2).
Provide backup support to Admin Assistants in other departments.
Deliver superior customer service to all internal and external customers.
Qualifications:
High school diploma or equivalent is required.
Three to five years of administrative experience is required.
Experience in administrative support, including conference, travel, and meeting arrangements, report preparation, and calendar management is preferred.
Proficiency in Microsoft Office applications is preferred.
Experience with Oracle timekeeping systems preferred.

Ability to make administrative/procedural decisions and judgments.
Detail-oriented with the ability to multitask.
Skilled in organizing resources and establishing priorities.
