Ball-Chatham is seeking a strong Administrative Assistantto join the District Office team!

FLSA STATUS: Non-Exempt

Pay Range:$23-32.54 base on experince

Calendar:260 Calendar days (Full-Time)

REPORTS TO: Director of Human Resources

Position Summary:

The Administrative Assistant supports the daily operations of the Human Resources department by assisting with employee onboarding, benefits administration, recordkeeping, compliance, and payroll support. This role requires strong organizational skills, attention to detail, and the ability to maintain confidentiality while providing excellent service to employees, administrators, and external partners. The Administrative Assistant plays a vital role in ensuring HR processes run smoothly and remain compliant with state and federal regulations.

Qualifications:

High school diploma or equivalent.

Ability to pass a fingerprint criminal background check.

Strong communication and interpersonal skills with a high level of professionalism and confidentiality.

Proficient with standard office equipment, computer applications, and quick to learn HR software systems.

Excellent organizational, multitasking, and problem-solving abilities.

Responsibilities:

Maintain compliance with federal and state HR regulations.

Manage employee personnel files, records, and HR databases.

Support onboarding by preparing offer letters, new hire packets, and system set-up.

Assist with benefits administration, payroll support, and leave paperwork.

Track certifications, licenses, and training requirements.

Assist with job postings, recruitment, and applicant tracking.

Prepare HR reports and provide documentation for audits.

Handle confidential employee information with discretion.

Perform other duties as assigned.

Work Conditions:

Primarily office-based with occasional physical tasks such as sitting, standing, bending, and lifting.

Requires strong attention to detail, planning, and coordination.
