Description

We are looking for a highly organized and detail-oriented Executive Assistant to provide comprehensive support to the President of an office in Hopkins, Minnesota. This role requires exceptional multitasking skills and the ability to manage administrative tasks with precision and discretion. As this is a long-term contract position, you will play a key role in maintaining the daily operations of the office while assisting with personal and administrative responsibilities.

Responsibilities:

Manage the President's calendar, including scheduling meetings, events, and travel arrangements.

Coordinate and organize electronic and physical filing systems to ensure easy access to important documents.

Oversee office operations by maintaining a tidy workspace and addressing administrative needs.

Assist with personal tasks for the owner, such as arranging home maintenance and managing onsite employees.

Support the Vice President/General Counsel with file handling, document preparation, and follow-up activities.

Maintain schedules and prepare for executive meetings, ensuring all necessary materials are available.

Handle routine administrative processes related to trust and foundation management, banking, and investment portfolios.

Communicate effectively with team members and external parties to coordinate tasks and resolve issues.

Utilize Microsoft Office tools, including Excel and SharePoint, to streamline workflows and manage information.

Ensure confidentiality and a high standard of conduct in all interactions and responsibilities.

Requirements

Proven experience as an Executive Assistant or Office Manager, preferably in a small office environment.

Strong proficiency in Microsoft Office Suite, including Excel and SharePoint.

Ability to manage calendars, plan travel arrangements, and organize daily schedules with precision.

Familiarity with administrative processes related to trusts, foundations, or investment portfolios is a plus.

Excellent organizational skills and attention to detail in both electronic and physical filing systems.

Self-starter with the ability to work independently and take initiative in a fast-paced environment.

Detail-oriented approach and effective communication skills to interact with executives and team members.

Must be comfortable working fully onsite in Hopkins, Minnesota.
