Administrative Executive Coordinator
POSITION DETAILS
The Vice President for Enrollment and Retention Management seeks a proficient Administrative Executive Coordinator to perform comprehensive analytical, research and administrative work. They will manage the daily operations of the Vice President's immediate office for smooth, efficient, compliant, and confidential business processes, services, activities, and information flows, and perform consolidated tracking of resource allocations, deliverables and performance outcomes of the pillars, offices, and programs under the enrollment management purview. Reporting to the Vice President for Enrollment and Retention Management and working closely with the Executive Director of Enrollment Management, the Administrative Executive Coordinator is responsible for performing optimal services in the areas of office, meeting and event logistics, communications, staffing, budgeting, research, data analysis and reporting. The Administrative Executive Coordinator supports the development and implementation of short and long-term objectives and projects to bolster enrollment and achieve matriculation and graduation goals. They will also organize strategic planning activities for division initiatives and committees and coordinate cross-functional collaborations.
In addition to the job summary and CUNY Title Overview, other key duties include, but will not be limited to the following:
Manages the website, facility/office space, equipment inventory, fiscal and budget spending, and procurement and payables functions of the Vice President's office, including complex calendar management, coordinates dates and all logistical arrangements, itineraries and agendas for meetings, events, and travel.
Monitors the development and management of division-wide and campus-based enrollment related resources, initiatives, programs and projects and update progress on action plans, metrics and milestones.
Liaises with appropriate point-persons, prioritizes issues, and ensures the Vice President and designees are informed about important matters and are fully briefed and prepared for all commitments.
Serves as a resource on administrative and enrollment policies and procedural matters to various stakeholders; receives inquiries and resolves them or refers to appropriate administrator ensuring sensitivity and confidentiality.
Coordinates the staffing/participants and materials for various committees, workgroups, taskforces, and councils; attends meetings and writes and distributes notes and follows up on action items emanating from these meetings.
Provides administrative support to search committees and coordinates activities with participants and human resources.
Learns and maintains solid working knowledge of enrollment related programs, services and systems; provides administrative support and backup to functional pillars during peak operations.
Prepares, coordinates and tracks human resources related activities and documents, including staffing actions, timekeeping and performance evaluations; supervises the work performed by support staff or students.
Performs related duties as assigned.
QUALIFICATIONS
Bachelor's Degree required.

Provides clear communications on the Executive's behalf both within and outside the unit.
May perform related duties as assigned; may participate in special projects and efforts to improve unit effectiveness.

COMPENSATION AND BENEFITS
$52,426 - $56,720 - Salary commensurate with education and experience.
