Reporting to the Communications & External Relations Director the Administrative Coordinator (Special Projects Coordinator) will be responsible for assisting with Office Management and Representation, Administrative Support, Purchasing and Budget Support, Payroll and Timesheet Management, Data and Record Management, and Reporting and Follow-Up.
Duties and responsibilities include:
-Serve as the primary point of contact answering phones, greeting visitors, and providing a welcoming and professional environment for students, faculty, staff, and external partners.
-Provide administrative support to the Communications team, ensuring seamless operations and effective communication across departments.
-Provide support with communications, marking and media plan and schedule.
-Liaise with various departments to coordinate work orders, facilities requests, and other operational needs.
-Maintain strong relationships with internal and external stakeholders to support Communications & External Relations initiatives.
-Assist the Director in managing purchasing processes, maintaining accurate records of expenditures, and supporting budget-related tasks as needed.
-Track and ensure the timely submission and accuracy of student worker timesheets. Coordinate hiring and payroll functions for student workers and part-time staff.
-Maintain confidential databases, records, and files related to department operations, ensuring accuracy, compliance, and confidentiality.
-Generate regular reports, monitor task completion, and follow up with team members and stakeholders to ensure deadlines and assignments are met.
QUALIFICATIONS
Bachelor's Degree required.

Provides basic information, instructions, and materials as requested by students, faculty, and others who contact the department.
May supervise office staff and student workers.
Performs related duties as assigned.

COMPENSATION AND BENEFITS
$52,426 - $56,720 - Salary commensurate with education and experience.
