JOB REQUIREMENTS: Essential Job Functions The primary responsibilities
of this position will be as follows: Transcribe dictated reports with
speed and attention to detail. Meet daily deadlines and manage time
effectively. Maintain strict confidentiality and security of all
sensitive information. Applicants may be required to transcribe a report
to demonstrate proficiency. Ability to work independently and remain
focused. Prior experience as a transcriptionist is often preferred.
Keeps confidentiality of work-related matters. Reviews and assembles
data from several sources to include officers\' reports, accidents,
citations, and other related materials, and then distributes to
appropriate department. Drafts letters, handles correspondence as
necessary related to job duties. Answers telephones, takes complaints,
makes appointments, explains procedures, refers callers, orders office
supplies, files records and reports accurately. Handles duties relating
to paper service in absence of other staff. Answers questions; receives
civil process papers; copies and bills requests for incident and
accident reports; files traffic and criminal-related paperwork;
receives, opens and distributes departmental incoming and outgoing mail;
and other miscellaneous duties. Uses various office machines:
multi-functional devices, computers, photocopiers, fax machine, and
telephones in accomplishing tasks. Transcribes incident reports in
prescribed format from handwritten copy or machine dictation, after
determining priority; photocopy as necessary; route reports to other
agencies as needed or required. Enters citations, incident reports and
accidents reports on computerized system (Incident Based Reporting);
reviews for completeness; routes to proper personnel; files citations
that have dispositions; writes letters or takes other action as
necessary when information is incomplete or inaccurate. Acts as back up
for Account Clerk position to include picking up inmate monetary
deposits from Booking; makes out daily bank deposit; records monetary
transactions in law enforcement software; prepares inmate checks upon
release along with inmate check requests. Prepares and mails agenda for
Highway Safety Commission meeting; takes minutes, transcribes, and
distributes as necessary. Verifies bills with packing lists as to number
of items received, verifies multiplication and addition of bills;
processes for payment; copies and files. Transfers payables to
individual accounts and verifies with monthly ledger printouts.
Disburses monies and balances petty cash account. Orders departmental
office supplies and other department supplies such as personal products,
paper, and forms. Orders supplies for jail, such as personal products,
paper, and forms. Orders supplies for D.A.R.E. program; processes
related invoices and paperwork; keeps up to date financial information
relating to donations, expenditures, etc. Answers various questions
regarding the jail for the public. Schedules visitation for persons
coming to see inmates and for professional persons who need to meet with
inmates. Coordinates visitation and video visiting. Takes jail-related
phone calls, answers telephone, takes messages, handles routine
inquiries, and refers clients/callers to appropriate personnel. Records
and receipts money received. Cross trains with other office staff
members to learn a variety of tasks performed by other office staff to
allow continuing coverage of the office for lunch hours and during other
absences. In this public service position, employee is required to be
courteous, cooperative, and respectful at all times, with the public and
clients. Establishes and maintains a courteous, cooperative, and
respectful working relationship with other employees, supervisors, and
public officials. Employee is expected to report to work when scheduled,
with minimum use of sick leave, to build up sick leave balance for
income protectionfor unexpected illness. Physical demands: Sits at
desk, uses hearing, near vision and typing skills for keyboarding,
calculators, or other office machines. Uses verbal communication with
clients, callers, and department staff. Sits, stands, bends, reaches,
and moves about the office intermittently throughout the day. Handles
papers and manuals, etc., lift files, copy paper and other office
materials. Waits on counter. Related Job Functions: Assists other
Sheriff\'s Office personnel as needed or required. This job description

Considerable knowledge of up-to-date office methods and procedures.
Considerable knowledge of business English, grammar, punctuation and
spelling and ability to set up and draft correspondence. Ability to
perform a heavy load of data entry with accuracy. Ability to work with
confidential matters and keep confidentiality. Ability to give
instructions to the public in a clear and concise matter. Ability to
establish good working relationships with the public, County officials
and other employees. Ability to file a large number of electronic
materials accurately and maintain a neat and orderly filing and record
keeping system. Ability to work independently under moderate
supervision. Ability to use good judgment in handling phone calls or
when dealing with the public. Training, Experience and Other
Requirements Associate Degree in Administrative Secretary, Office
Computer Specialist, or closely related field preferred. Two years
office experience with demonstrated competency. Experience in the
following areas is preferred: Law enforcement records, law enforcement
software, report transcription, legal terminology. Successful completion
of background check suitable for working in law enforcement. Equal
