The Office for Inclusive Excellence leads initiatives to ensure Colorado State University meets our Land-grant mission of access and success. Position Summary
The Education Administrative Specialist will work closely with the Executive Director for Inclusive Excellence. This role will provide support in event management and communication, logistical coordination, and campus outreach. The position is ideal for someone with strong communication and organizational skills, attention to detail, and event planning, who is looking to contribute to meaningful institutional projects in a support capacity.
Position Minimum Qualifications
Bachelor's degree in education, instructional design, social sciences, communications, marketing, organizational development, or a related field
Minimum of 3 years of professional full-time experience
Proficiency in computer systems and demonstrated experience with learning and implementing new platforms and technologies
Proficiency with professional communication skills
Preferred Qualifications
Demonstrated experience in developing programs aimed at increasing access and success for students and/or employees from various backgrounds
Experience with content management systems, such as WordPress, Elementor, and Mailchimp
Experience with collaborative projects that involve multiple stakeholders
Experience developing online content using instructional design principles and tools
Familiarity with Colorado State University campus policies and procedures

Duty/Responsibility
Plan, coordinate, and execute in-person, hybrid, and virtual events, meetings, and workshop sessions, ensuring that attendees receive appropriate accommodations when necessary.
Manage event logistics from start to finish, including scheduling, platform set-up (i.e. on Bridge, Ring Central, and other platforms), volunteer coordination, preparation of materials, communication, and post-event evaluations.
Develop event timelines, checklists, and standard operating procedures to ensure seamless execution.
Serve as a liaison to vendors, campus partners, and community organizations to facilitate successful events.
Communicate with stakeholders and campus partners to ensure successful intake of workshop requests, including workshop goals, attendance, and scheduling.
Maintain and update education schedule and accurately track attendance and feedback data for reporting purposes.
Manage financial and administrative tasks, including invoice processing, budget reconciliation, and supplemental pay requests.
Continuously evaluate and refine program logistics, workflows, and resource allocation to improve efficiency and scalability of OIE's initiatives.
Use data-driven approaches to assess the effectiveness of training and online content efforts.
Prepare detailed reports on program outcomes, including participation metrics and qualitative feedback.
Contribute to the strategic planning and goal-setting process for the Education Team.

Duty/Responsibility
Provide comprehensive administrative support for the Education unit, ensuring smooth operations, scheduling, and resource management.
Manage the Education calendar, coordinating meetings, prioritizing scheduling conflicts, and ensuring alignment with institutional priorities.
Oversee and coordinate all travel logistics related to the Education unit, including keynote speakers and training facilitators. For example: booking flights, accommodations, and ground transportation.
Process and track financial transactions, including invoices, purchase requests, and expense reimbursements, ensuring compliance with CSU financial policies (Kuali, PRFs, Adobe).
Develop and distribute meeting agendas, take minutes, and facilitate follow-up actions to enhance team productivity.
Serve as a point of contact for faculty, staff, and external partners engaging with the Education unit.
Maintain and update unit records, files, and program documentation, ensuring accessibility and accuracy.
Act as a back-up building proctor for OIE spaces, ensuring facilities are well-maintained, functional, and conducive to meetings and events.
Ensure office coverage, respond to inquiries, and provide customer service experience to visitors.
Oversee space reservations and set up meeting rooms, ensuring appropriate technology and materials are available.
Coordinate building-related work orders, maintenance requests, and office supply inventory to support day-to-day operations.
Assist in facility-related planning, ensuring that office and event spaces are accessible, and properly equipped for educational programming.
Support technology troubleshooting and setup for virtual and in-person training, meetings, and events.
