Description We are looking for a detail-oriented and organized Receptionist to join our team on a long-term contract basis in Columbia City, Indiana. This role is critical in ensuring smooth day-to-day operations by managing front desk responsibilities and providing exceptional customer service. The ideal candidate will thrive in a fast-paced environment and be comfortable handling a variety of administrative tasks.

Responsibilities:

Manage incoming calls using a multi-line phone system, ensuring prompt and courteous communication.

Receive, sort, and distribute incoming mail to appropriate departments.

Welcome visitors and clients, providing a positive and detail-oriented first impression.

Maintain accurate records and perform data entry using Microsoft Word and Excel.

Assist with scheduling appointments and coordinating meetings as needed.

Handle general administrative duties such as filing, scanning, and document organization.

Ensure the reception area remains clean, organized, and presentable at all times.

Provide support to other departments with clerical tasks as required.

Monitor and manage office supplies inventory, placing orders when necessary. Requirements - Proficiency in operating a multi-line switchboard phone system.

Experience in mail processing and distribution.

Strong working knowledge of Microsoft Word and Excel.

Excellent organizational and multitasking skills.

Ability to communicate effectively and professionally with clients and team members.

Prior experience in a receptionist or administrative role preferred.

High level of attention to detail and accuracy.
