Responsible for supporting the the EVP, Voluntary Benefits and other members of the VB Senior Leadership Team by providing professional and high-quality administrative support in a dynamic, collaborative and caring environment. Also administers programs and organizes associate events.
Key Accountabilities:
Provide high-quality administrative assistance to the EVP and their direct reports
Schedule meetings and manage calendars
Arrange and coordinate travel arrangements and process expense reports
Serve as the primary point of contact for the EVP by managing internal and external telephone and email support
Welcome employee visitors and answer basic employee inquiries
Create and edit correspondence, memos, and presentations
Handle inquires and requests on behalf of the EVP
Oversee day-to-day office operations
Evaluate and maintain proper needs of office supplies
Schedule and coordinate meetings & events; create and manage agendas and materials for various meetings
Process invoices
Sort and distribute mail
Manage office equipment, troubleshoot malfunctions, and coordinate maintenance requests as needed
Perform special assignments and projects supporting VB initiatives
Other duties as needed/assigned
Minimum Qualifications:
Minimum 4 years' experience as an Executive Assistant to a Senior Executive and team of a mid-sized or large organization
Strong interpersonal skills with ability to work well with all levels of internal management and staff, as well as outside clients and vendors
Exercise independent judgment in the resolution of administrative problems
Demonstrated knowledge of project administration/ coordination and reporting for division projects
Ability to multi-task to manage/prioritize multiple projects simultaneously
Strong proficiency in Microsoft Office, specifically Outlook, Word, Excel & PowerPoint.
Strong collaboration, detail oriented, accurate, organized and able to work independently in a self-directed environment
Ability to meet deadlines with strong follow-up skills
Strong communication (verbal and written) skills
Strong critical thinking ability; use logic and reasoning to foresee and identify potential problems and proactively take steps to remedy the issues
Previous meeting/event planning experience
Preferred:
Associates or Bachelors Degree
Experience with Workday reporting
The compensation range for this role is (based on the corporate location in Lake Forest, Illinois):
$31.49 - $45.49 per hour
The final salary offer will be determined based on factors such as location, qualifications, experience, skill set, and other relevant factors. This position may also be eligible for bonus. We understand that compensation is an important factor when considering a new opportunity, and we strive to provide a competitive salary within the market.
