Job Announcement
Are you an energetic, organized, and outgoing administrative professional? The department's Administrative Services team is seeking a detail-oriented customer-focused person who will be responsible for procurement, accounts payable, accounts receivable and other financial management support.
Specific duties include:
Processing procurement requests for goods and services, ensuring requests are properly documented, approved, and charged to the correct fund accounts;
Processing invoices for payment, ensuring invoices are accurate, properly approved, and processed timely;
Resolving issues with vendors, including those related to contract terms and payments;
Serving as the department's procurement card custodian, ensuring procurement card security, ensuring purchases are properly approved, allowable and charged to the correct fund accounts, maintaining transaction logs and supporting documentation, and reconciling/clearing all procurement card transactions;
Serving as the department's travel/training coordinator, planning, scheduling, and arranging travel and training for all FCDOT employees and processing travel reimbursement requests;
Reconciling office supply orders as well as interfund billing for printing and postage;
Reviewing fund accounts to determine accuracy of posted transactions, reconciling accounts and processing journal entries, as needed;
Depositing revenues received and processing cash receipts;
Coordinating with building property management for maintenance requests and ordering and maintaining office/copier supplies;
Ensuring operations in above-noted functional areas comply with all applicable local, state, and federal regulations;
Collaborating with department staff to streamline business processes and develop policies and procedures to improve efficiency and ensure strong internal controls; and
Providing related training and customer support.
The position is expected to successfully resolve problems in a team-based environment, balance multiple priorities and tasks to meet established deadlines, and perform duties under limited supervision.

MINIMUM QUALIFICATIONS:

high school graduation and three years of experience providing administrative support in the assigned functional area(s).
CERTIFICATES AND LICENSES REQUIRED:
Valid driver's license
NECESSARY SPECIAL REQUIREMENTS:
The appointee to this position will be required to complete a criminal background check, credit check and driving record check to the satisfaction of the employer.
PREFERRED QUALIFICATIONS:
Bachelor's degree and/or experience in procurement, accounting, finance, or related field;
Experience in public procurement, accounts payable/receivable, procurement card management, travel coordination, payroll, business process redesign, policy and procedure development and documentation, facilities management, training, accounting, and/or financial management;
Experience providing front-line customer service, including responding to internal and external customer inquires face to face, by telephone, and in writing.
Experience working in local, state, or federal government;
Experience with reconciliation of financial transactions;
Strong analytical, organizational, communication, and customer service skills;
Proficiency and considerable experience using Microsoft Office Suite computer software, particularly Excel;
Proficiency and considerable experience in Enterprise Resource Planning (ERP) systems such as Fairfax County Unified System (FOCUS) or similar ERP systems;
Strong interpersonal skills and demonstrated ability to establish and maintain positive working relationships; and
Desire to advance a collaborative and supportive culture.
PHYSICAL REQUIREMENTS:
Ability to walk, bend, reach, and lift up to 10 pounds is required. Ability to work at a computer and operate keyboard driven equipment for extended periods is required. Job is generally sedentary in nature. Visual acuity to read data on a computer monitor and detailed reports is required. All duties performed with or without reasonable accommodations.
