JOB SUMMARY
Responsible for the provision of efficient, orderly customer service for consumers and families. The employee in this position ensures that patient information is obtained and accurately updated in the hospital's computer system. Responsible for the confidential transport of healthcare records and phone triage. Employee must be familiar with hospital policy and procedures and is responsible to inform patients of the policies, procedures, services, and other information as required or requested. The position requires excellent interpersonal communication skills and the ability to communicate with a multi-disciplinary team of professionals as well as healthcare consumers. Employees maintain familiarity with coding and billing compliance and facilitates the coding and billing process. Develops procedures for office activities and information management including filing, medical records maintenance, fax, electronic information, and mail management and distribution. Provides administrative support services including office supply inventory, management and maintenance of staffing schedule as needed and in the absence of an office supervisor, and other duties as necessary. They will provide ENT clerical support, manage hearing aid / audiology supplies, hearing aid contract management, marketing, and assisting with pediatric and adult audiology patients as needed. Employee will participate in performance and CQI activities as necessary.
ESSENTIAL DUTIES/RESPONSIBILITIES
Responsible for scheduling patients for the clinic on an outpatient basis. Insures that appropriate hospital documentation is obtained prior to processing patients.
Maintains scheduling system for accuracy and completeness and can be used to analyze patient/staffing patterns
Responsible for generating appropriate paperwork on each admission.
Insures documents are appropriately attached (scanned, filed, and distributed as necessary) to patient charts and referring providers
Responsible for interviewing patients or their representative to obtain personal information or to verify information already on file, including emergency numbers and insurance information.
Secures all required documentation (i.e. insurance information, consents and release are completed and filed, requests sent for additional information from other agencies as needed).
Responsible for obtaining all signatures required for their clinic visit / device loan/ device purchase.
Communicates appropriately and clearly to supervisor, coworkers and physicians.
Responsible for knowing policies and being familiar with services that are available.
Refers patient to the SMH Clinic or SMH Business Office when financial arrangements need to be made.
Directs patients, family members, other visitors and vendors in a professional and courteous manner.
Promotes and participates in the implementation, maintenance, and continuous evaluation of EMR.
Demonstrates an ability to be flexible, organized and function well in stressful situations.
Treats patients and their families with respect and dignity; ensures confidentiality of patients' records.
Maintains a good working relationship both within the department and with other departments / community.
Ensures that documentation meets current standards and policies.
Checks and stocks supplies as needed.
Collects copays as required.
Responsible for petty cash and associated protocols.
Promptly and professionally answers telephone calls. Routes calls appropriately, offering voice mail or redirection of calls as needed.
Follows policies and procedures to ensure that Memorial Hospital is safe and compliant with all laws and/or regulations.
Maintains files and assists in establishing office systems.
Helps problem solve, suggest and implement solutions that improve communication.
Receives, sorts and processes outgoing mail.
Receives, opens, and sorts the incoming mail as required.
Oversees and completes general office organization and tasks, including but not limited to filing, writing and distribution of memos & letters, processing and routing mail.
Helps analyze office staffing and can facilitate coverage in the absence of office supervisor.
Assists in successful implementation of programs to improve coding and reimbursement for office-specific procedures.
Performs duties in a professional and courteous manner
Maintain office cleanliness with assigned daily cleaning.
Manages audiology supply inventory - INFOR access
Develops and manages hearing aid contracts, warranties, reminders, etc
Selects and reviews marketing content with staff and marketing department
Uses patient care skills to assist with patients in the sound booth.
MINIMUM REQUIREMENTS
Education / Experience / License and Certifications
High School graduate or equivalent, required.
Minimum two years of office, scheduling, or receptionist experience, including one year with a health care organization.
BLS required within 6 months of start date.
Medical terminology, preferred.
HIPAA Compliance experience, preferred.
Additional Skills
Ability to effectively communicate in English, both reading and writing.
Multi-line telephone knowledge.
Computer knowledge.
Ability to operate designated equipment as specified included computer keyboarding.
Basic clerical training, including basic filing procedures (both numerically and alphabetically).
Ability to work under pressure with time constraints.
Basic knowledge of medical record content and sequence.
Ability to function independently with minimal direction.
Specific demands not listed: Possible exposure to blood and or body fluids / infectious disease / hazardous waste requiring the use of Personal Protective Equipment. Exposure to odorous chemicals / specimens and Latex products.
