PURPOSE OF CLASSIFICATION The purpose of this classification is to provide administrative support to the department director, coordinate daily office activities, perform diverse administrative duties requiring a working knowledge of applicable policies and procedures, and provide general clerical assistance to other staff members. Essential Duties and Responsibilities These tasks are assigned or overseen by the Administration Manager. Duties listed below are representative and not exhaustive; additional responsibilities may be assigned as needed. - Manage member recommendation reports, letters, and responses using Mobile Forms software. - Maintain and update the department's website and social media platforms. - Design, update, and distribute marketing materials. - Supervise, direct, and evaluate assigned staff, address employee concerns and problems, and complete employee performance appraisals. Assist in training and development of assigned staff along with director. - Create and edit video content and PowerPoint training materials as directed by the department director. - Serve as primary point of contact for incoming calls and route inquiries appropriately. - Respond to inquiries from staff, local officials, and the public regarding departmental programs and procedures. - Draft, @type, and format various documents including agreements, survey reports, budgets, and legislative tracking sheets. - Prepare and file official correspondence, agendas, memos, regulatory forms, ordinances, policies, and other documents. - Process purchasing, accounting, and HR forms such as invoices, POs, billing requests, travel reports, and timesheets. - Solicit and evaluate vendor bids; provide selection recommendations based on quality and performance. - Assist with event coordination including logistics, registrations, and materials preparation. - Enter and maintain data related to employee benefits, accounting, and administrative records. - Coordinate maintenance and repair of office equipment and furnishings. - Manage billing and invoicing processes, track payments, and prepare financial reports and deposits. - Communicate with pension committee staff, retirees, and survivors; process final benefit settlements. - Compile data for reports and presentations using spreadsheets and databases. - Prepare and distribute newsletters, handbooks, and publications. - Maintain filing systems for records including financial, personnel, administrative, and legislative materials. - Create and maintain mailing lists for committees and organizational groups. - Support bulk mailings using automated equipment for copying, folding, and postage. - Assist with department-wide projects and assignments. - Create and edit video content and training materials as directed by the department director. KNOWLEDGE, SKILLS AND ABILITIES - Knowledge of GMA By-Laws and departmental policies and procedures. - Knowledge of contemporary office practices and procedures. - Knowledge of English grammar, syntax and usage. - Skill in typing. - Skill in bookkeeping. - Skill in establishing and maintaining files. - Skill in oral and written communication. - Skill in operating modern office equipment, including a @typewriter, Dictaphone, copier, postage meter, and facsimile machine. - Skill in operating a personal computer and utilizing word processing, database management, spreadsheet software, graphic design software and mobile forms. MINIMUM QUALIFICATIONS Associate's degree required; three years of experience in responsible administrative work or a related field; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job. May be required to possess and maintain a valid Georgia driver's license.

MINIMUM REQUIREMENTS TO PERFORM ESSENTIAL JOB FUNCTIONS PHYSICAL REQUIREMENTS: Must be able to operate a variety of automated office and audio-visual equipment including telephone, @typewriter, personal computer, printer, copier, adding machine, facsimile, overhead projector, and VCR. LANGUAGE ABILITY: Requires ability to read a variety of administrative documentation, directions, instructions, and methods and procedures. Requires the ability to prepare reports, correspondence, forms, and statistical tables with proper format, punctuation, spelling and grammar, using all parts of speech. Requires the ability to speak with and before others with poise, voice control, and confidence using correct English and well-modulated voice. INTELLIGENCE: Requires the ability to learn and understand relatively complex secretarial and administrative principles and techniques; to understand departmental policies and procedures; to make independent judgments in absence of supervision; and to acquire and be able to expound on knowledge of topics related to primary occupation. The pay range for this position is $40.00 - $45.00/hr.
