Responsibilities This position has a broad range of responsibilities within the Marketing department to provide administrative support and assist in planning and implementing organizational events. This position is responsible for collaborating with the marketing team to plan, coordinate, and logistically support a variety of events that include but are not limited to Family Fun Day, Military Spouse Appreciation Day, holiday celebrations, music concerts, VIP guest appearances, movie premieres, promotional giveaways, annual Miramar Air Show, and other events as assigned. Work with marketing team members to revise plans and modify events and activities as time sensitive situations develop. Develop, implement, and manage comprehensive timelines and event schedules. Provide expertise and operational continuity to ensure events are conducted in accordance with directives and policies. Plan and coordinate pre-event set up, day of event logistics, and breakdown of assigned events. Assist in the supervision of employees, volunteers, and temporary staff during events. Prepare marketing department records and reports and exercise authority on approved budgets. Responsible for managing and maintaining marketing warehouse and storage areas by building, updating and preserving an accurate inventory of value-in-kind products and ensuring proper storage and dispersal of inventory. Receive calls and visitors, take messages, and direct complaints to the appropriate points of contact. Maintain calendars, schedule appointments and meetings, route mail, and establish suspense dates to collect responses and submit information as requested. Provide administrative support to process invoices, ensure contractual obligations from sponsors are met, create reports, briefs, press releases, assist in prize distributions, and coordinate delivery of products to the marketing department or special event location. Provide exceptional customer service, and uphold high service standards using respect, courtesy, professionalism, and teamwork. Take initiative to solve problems quickly but recognize when to seek assistance to resolve issues. Collaborate in a professional, supportive, and proactive manner. Check for satisfaction with the quality of services provided. Adhere to safety regulations and standards. Use required safety equipment and observe safe work procedures. Promptly report any observed workplace hazards, and any injury, occupational illness, and/or property damage resulting from workplace mishaps to the immediate supervisor. Requirements Conditions of Employment See Duties and Qualifications EVALUATIONS: Qualifications Three years of experience organizing, planning, administering, logistically supporting, and executing professional event related activities, and one year experience providing administrative support is required. Demonstrated ability and experience using Microsoft Word, Excel, Outlook, and PowerPoint at an intermediate level, as well as Adobe Acrobat Professional. Must be a self-driven team player with exemplary time management skills to organize and coordinate multiple high visibility projects simultaneously. This position requires excellent customer service skills that include the ability to interact with a professional demeanor, maintain tact and diplomacy when under pressure, and adapt when faced with changing situations or priorities. Must be able to effectively communicate in writing and verbally with a broad range of individuals including civilian and military leadership, customers, vendors and co-workers. Must be able to accommodate a flexible work schedule to include nights, weekends, and holidays and maintain a current valid driver¿s license or obtain one within 30 days of employment. Moderate physical effort such as bending and stooping and lifting and carrying objects up to 45 lbs. independently, and objects over 45 lbs. with assistance, is required. Working conditions are both indoors and outdoors. Occasionally when working outdoors, the incumbent is exposed to warm and cooler temperatures, and inclement weather conditions. When working in the inventory warehouse, the incumbent will be exposed to drafts, noise, dust/dirt, and be required to stand for prolonged periods on concrete floors.
