Progressively responsible experience in an office environment, working independently with minimal supervision and managing multiple deadlines.
Experience with financial reporting, analysis, or planning, demonstrating strong critical thinking and problem-solving skills.
Highly organized and detail-oriented, with proven time management skills and the ability to prioritize tasks and multitask effectively.
Excellent written and verbal communication skills, including the ability to write clear, concise, and grammatically correct correspondence.
Strong interpersonal and customer service skills, with the ability to interact professionally with internal and external stakeholders in person, via phone, and through email or virtual platforms.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.).
Analytical Skills: Ability to perform accurate data entry, proofreading, and document finalization. Capable of reading, writing, and interpreting instructions, reports, and correspondence.
Project/Process Management: Ability to plan, organize, and track tasks in a fast-paced office setting, while keeping leadership informed of progress and key details.
Technology Proficiency: Ability to provide basic support for office technology and software. Familiarity with SAP for budget monitoring, and tools such as PeopleAdmin, Adobe, GATO , and CANVAS is preferred.
Administrative Support: Demonstrated ability to learn quickly, adapt to new systems, and produce high-quality work independently.
Communication: Professional verbal communication skills across platforms (in-person, Zoom/Teams, email). Ability to write with a professional tone.
Interpersonal Skills: Ability to work effectively in a small office environment, contributing to a supportive and collaborative team. Skilled at identifying problems, providing solutions, and ensuring follow-through.
Problem-Solving: Resourceful and self-directed, with the ability to address challenges independently and maintain productivity under pressure.
Preferred Qualifications
Associate degree and some coursework in accounting
3 or more years of experience as an administrative assistant
Job Description
Responsible for providing administrative officers, including Asst VP Financial Reporting/Planning and Director of Financial Reporting & Accounting, with assistance regarding administrative matters.
Job Duties
Provide complex administrative assistance to the Financial Reporting & Accounting and Planning offices such as correspondence, analytical reports and projections, financial and other research, and office management. Maintain departmental IT and personnel files.
Serve as Department Time Administrator for staff in Financial Reporting & Accounting and Planning. Manage and process time entry for Students and Temporary staff as needed. Process PCRs (personnel change request); create requisitions/purchase orders and pay invoices. Verify personnel policy compliance.
Verify expenditures on SAP Budget to Actual report for accuracy of charges; initiate corrective action as needed; make financial needs projections; submit budget adjustments as needed. Assist with e- IDT questions in a shared mailbox.
Schedule interviews for job applicants for positions across the Financial Reporting & Accounting and Planning areas utilizing People Admin for posting, position request, onboarding, and separations.
Conduct the annual inventory of office equipment for the departments.
Maintain webpages utilizing Financial Reporting & Accounting and Planning content management tools, create, edit, proof content and forms for departments.
Other duties as assigned.
