Duties and Responsibilities
The Administrative Assistant supports all programs and services of the Student Accessibility Center ( SAC ) under the supervision of the Director of the Student Accessibility Center. This position is responsible for managing the front desk and reception area of the Student Accessibility Center at Lake Shore Campus and its satellite offices at Water Tower Campus and Health Sciences Campus.
The Administrative Assistant:
Provides support and clerical assistance for the Student Accessibility Center, its staff, and testing operations, as needed.
Manages the general SAC email inbox, tracking of new student inquiries to SAC , initial outreach to students interested in receiving services, and participates in ongoing communications with students.
Assists with peak volume tasks such as processing letters for students' accommodations, exam scheduling training to students, and coordination of ASL / CART services.
Assists with the recruiting, hiring, training, and supervision of undergraduate and graduate student workers.
Serves as application and content administrator for Symplicity Accommodate case management system; provides training to new staff users as needed.
Oversees and manages content for the SAC website utilizing content management system.
Completes employment paperwork in accordance with federal regulations and Human Resources hiring policies and procedures.
Assists in the creation of periodic reports for the Director, Associate Directors, and Assistant Director, detailing SAC programming, usage, and activities.
Provides administrative support including agenda preparation and note-taking for unit meetings, various standing committees, and task groups as needed under the direction of the Director.
Arranges meetings and coordinates follow-up from meetings for the Director including writing agendas, making room reservations, catering/food orders, set-up requests, vendor services, taking minutes, and creating meeting reports for attendees.
Provides administrative assistance to maintain SAC staff ProCard accounts.
Provides excellent service to students, faculty, and staff while providing an organized and welcoming front desk/waiting room environment.
Interacts compassionately and effectively with distressed students, faculty, and parents/families.
Must have the ability to work under pressure and perform multiple tasks due to a high volume of student/faculty visits, including phone calls, emails, drop-in visits, and scheduled appointments.
Participates in university-wide and in Student Academic Services ( SAS ) signature programs, events, and activities, including but not limited to: Orientation, New Student Convocation, finals week proctoring, Undergraduate Admission open houses, Commencement, and student celebrations.
Performs related duties as assigned.
Minimum Education and/or Work Experience
High school diploma or equivalent and one to three years of relevant experience; some positions may require additional experience.
Qualifications
Strong organizational skills and effective verbal and written communication skills required.
Must be self-motivated with the ability to multi-task and work cooperatively in a fast-paced team environment.
Strong attention to detail, accuracy, sound judgment, and the ability to maintain confidentiality are required.

Advanced knowledge of computer applications including: MS Access, MS Excel, and Adobe
