Duties Description Responsibilities include, but are not limited to:- Collect pertinent data through various means such as interviews, phone calls and e-mails- Compile and track information and prepare reports regarding NYS claims data- Ensure the efficient operation of the segment by performing a wide range of administrative tasks related to correspondence, files, and calendar management; work coordination; customer service; fielding of questions and information gathering- Under close supervision, establish office procedures; design filing systems; implement policies and procedures; maintain efficient workflow; resolve day-to-day operational problems; respond to phone calls; sort mail; organize, expedite and follow up on projects; and coordinate information flow by acting as liaison among staff, other employees and the public- Provide technical assistance to program managers in implementing new or revised administrative processes- Other duties may be assigned based on department needs
Minimum Qualifications For Appointment to Administrative Assistant Trainee 1 (SG 8):- Reachable on current Civil Service eligible list for this title; OR- One year of permanent, competitive class service in a title eligible for transfer* under Section 70.1 of the Civil Service Law. Titles eligible for transfer include but are not limited to: Legal Assnt Trainee 1, Motor Vehicle Representative 1, Office Assnt 1, Tax Compliance Rep 1 OR;- Six months of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration. ** To be advanced to the full performance level of this title you must successfully complete a set training and development program. Upon satisfactory completion of the 12-month training course at Trainee 1, you will automatically advance to Trainee 2.For Appointment to Administrative Assistant 1 (SG 11):- Reachable on current Civil Service eligible list for this title; OR- One year of permanent, competitive class service in a title eligible for transfer under Section 70.1 of the Civil Service Law. Titles eligible for transfer include but are not limited to: Business Services Center Representative 1, Call Center Representative 1, Motor Vehicle Representative 1, Office Assistant 2 (including all parenthetic), OR;- Two years of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration, OR;- An associate's degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology.Please be advised that the New York State Insurance Fund (NYSIF) does not offer sponsorship for employment visas to employees or potential employees. At a future date, it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all the same rights and privileges of competitive class employees of New York State.
