We are seeking a highly motivated and detail-oriented Administrative Assistant to support the
smooth and efficient operation of the Board of Elections office. The Administrative Assistant will play
a vital role in assisting with all aspects of election administration, from voter registration to ballot
preparation and post-election activities. This position requires excellent communication and
organizational skills, a commitment to accuracy and integrity, and the ability to work effectively both
independently and as part of a team. Boards of Election are required to perform many duties in a
Bipartisan presence. Due to the Bipartisan nature in which the Board of Elections operates, party
affiliation and voter registration status will be considerations during the hiring process.
MINIMUM ESSENTIAL FUNCTIONS, DUTIES AND RESPONSIBILITIES
? Registration Assistance: Assist voters with registration procedures, ensuring accuracy and
completeness of applications.
? Communication: Monitor and respond to emails and phone calls promptly and professionally,
addressing inquiries and providing information related to elections.
? Public Records: Assist with processing public record requests in accordance with applicable
laws and regulations.
? Documentation: Prepare and maintain accurate documentation related to election activities,
including voter records, ballot inventories, and precinct information.
? Organization and Filing: Organize and file documents and supplies according to established retention and disposal schedules
? Office Supplies: Monitor office supply levels and replenish as needed, ensuring efficient
inventory management.
? Director/Deputy Director Support: Assist the Director and Deputy Director with various tasks
as assigned, providing administrative and operational support.
? Ballot Preparation: Assist with ballot preparation and printing, ensuring accuracy and
compliance with election laws.
? Poll Worker Management: Recruit and manage poll workers to support election day
operations.
? Public Assistance: Provide courteous and professional assistance to the general public,
candidates, and county officials, addressing inquiries and resolving issues in a timely and
effective manner.
? Safety Compliance: Meet all job safety requirements and all applicable safety standards.
? Meetings and Training: Attend staff meetings, training sessions, conferences, and workshops to stay updated on election laws and best practices.
EDUCATION AND/OR EXPERIENCE REQUIREMENTS
? High school diploma or equivalent required
? Prior experience in an administrative or customer service role desired
? Excellent communication, interpersonal, and organizational skills
? Keyboard typing
? Ability to work independently and as part of a team
? Attention to detail and commitment to accuracy
? Ability to maintain confidentiality and exercise discretion
Must pass a background check
ADDITIONAL PREFERRED SKILLS, DUTIES AND RESPONSIBILITIES
? Knowledge of election laws and procedures
? Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
? Knowledge of proprietary software programs. Triad GSI products, BallotSync, and other Elections software
Salary/Benefits:
The County offers an excellent benefit package including, health insurance and retirement through the
Ohio Public Employee Retirement System (OPERS). Applicants will have a 6-month probationary period.
