Description

We are looking for a skilled Administrative Assistant to support the Public Works Division. This long-term contract position involves ensuring smooth daily operations by managing service requests, coordinating schedules, and handling departmental communications. If you are organized, detail-oriented, and experienced in administrative tasks, this role offers an excellent opportunity to contribute to a dynamic team.

Responsibilities:

Provide administrative support to the Public Works Maintenance Division, ensuring efficient daily operations.

Handle incoming calls from the public to address service requests and repairs, entering details into software for team distribution.

Manage schedules, calendars, and departmental records using Excel, CityWorks, and other databases.

Process invoices, track expenses, and assist with financial reporting for the department.

Respond to customer inquiries and complaints, and coordinate spill hotline requests as needed.

Oversee the daily printing and dispatching of utility locate requests, maintaining accurate records and adjustments.

Track employee hours, generate reports, and assist with fleet service coordination and subscriptions.

Administer guest badging, distribute mail, and update departmental systems to keep operations running smoothly.

Requirements

Proficiency in Microsoft Office Suite, including Excel, Word, and Outlook.

Strong communication and customer service skills, with the ability to handle inquiries and complaints professionally.

Experience managing service requests, utility locates, and maintenance-related tasks.

Organizational skills to handle scheduling, record-keeping, and invoice processing efficiently.

Attention to detail and accuracy in tracking employee hours, expenses, and departmental reports.
