Senior Administrative Assistant

Description We are looking for a detail-oriented Senior Administrative Assistant to join our team in Florence, Kentucky. In this Contract-to-Permanent position, you will play a key role in supporting property management operations and tenant relations. The ideal candidate thrives in a fast-paced environment, can adapt to shifting priorities, and demonstrates excellent customer service skills.

Responsibilities:

Respond to tenant inquiries and concerns, ensuring timely resolution of issues such as maintenance requests.

Draft and prepare contracts and agreements with accuracy and attention to detail.

Utilize software systems to input payment information and monitor payment statuses.

Follow up with tenants regarding overdue or incorrect rent payments, collaborating with the accounting department as needed.

Maintain office inventory by ensuring supplies are stocked and readily available.

Process management and maintenance staff hours, tenant bill-back invoices, and expense reports for review and approval.

Conduct monthly meter readings for properties and prepare related documentation.

Handle check requests and ensure proper authorization before submission. Requirements - Minimum of 2 years of experience in administrative support or a related role.

Proficiency in Microsoft Excel and Word.

Strong organizational skills with the ability to manage multiple tasks and priorities effectively.

Excellent customer service abilities, including handling urgent tenant concerns with professionalism.

Quick learner who can adapt to new processes and systems.

Basic familiarity with accounting tasks, with a willingness to learn on the job.

Effective communication skills, both verbal and written.
