As a Client Intake Specialist your responsibilities will include but aren't limited too:

Conduct intake calls with prospective clients and record information in the firm's case management system.

Direct and escalate inquiries to appropriate team members when necessary.

Manage incoming and outgoing correspondence, both electronic and paper-based.

Prepare and send legal documents and contracts for client signatures using DocuSign or physical copies.

Organize and maintain case-related documents within the firm's case management system.

Request medical records and follow up with clients to gather necessary information and documentation.

Use Microsoft Word and Excel to coordinate and track ongoing projects.

Provide general office support and administrative assistance as needed.

Take on additional case-related tasks and projects as assigned.

Requirements

The ideal Client Intake Specialist will meet have the following:

Proven experience with case management software and familiarity with legal processes.

Proficiency in tools such as Adobe Acrobat, Aderant, and Microsoft Office Suite.

Strong organizational skills and ability to manage multiple tasks effectively.

Excellent communication skills for handling client interactions and team coordination.

Experience with mass torts or complex litigation is highly desirable.

Ability to handle sensitive information with discretion and professionalism.

Familiarity with medical record requests and documentation processes.

Prior experience managing multi-line phone systems and correspondence.
