Description

We are seeking a highly organized and detail-oriented Administrative Assistant for our client in the human services field. The ideal candidate will provide critical administrative and clerical support to ensure smooth daily operations while promoting effective communication, collaboration, and service delivery. This role is instrumental in helping our client make a positive impact on the individuals and communities we serve. This position is a contract to hire for the right candidate.

Key Responsibilities:

Administrative Support:

Perform general administrative duties, including answering and directing calls, managing correspondence, and maintaining filing systems.

Prepare, edit, and format documents, reports, and presentations with a high level of accuracy.

Schedule and coordinate meetings, appointments, and events, including preparing necessary materials and managing invitations.

Data Management:

Maintain accurate and organized client, program, or project records in physical and digital formats, ensuring compliance with confidentiality regulations.

Input, update, and retrieve data from internal databases and enterprise systems as needed.

Communication:

Serve as the first point of contact for clients and stakeholders, providing information and referrals with a professional and empathetic demeanor.

Act as a liaison between supervisors, team members, and external contacts to streamline communication.

Compliance and Confidentiality:

Ensure organizational adherence to policies, protocols, and regulations, particularly related to HIPAA and client confidentiality.

Support regular audits or reporting requirements by preparing accurate and timely documentation.

Team Collaboration:

Actively contribute to a team-oriented environment and participate in team meetings, training sessions, and events.

Identify opportunities to improve processes and recommend solutions to enhance efficiency.

Required Skills and Qualifications:

Proven experience as an Administrative Assistant or in a similar administrative role.

Strong organizational and multitasking skills, with the ability to prioritize tasks and meet deadlines.

Excellent verbal and written communication skills.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with database management systems.

Ability to handle sensitive information with a high level of confidentiality and professionalism.

Demonstrated ability to work effectively with diverse populations and individuals experiencing various challenges.

Requirements - Proven experience in an administrative or assistant role.

Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.

Strong communication skills, both verbal and written.

Excellent organizational and time-management abilities.

Ability to handle multiple tasks and prioritize effectively.

Familiarity with scheduling and calendar management.

High attention to detail and accuracy in data entry.
