Wastequip has an immediate opportunity for an Administrative Assistant to support our Albany, OR manufacturing operation. Our ideal candidate will have 2 or more years of experience as an administrator and will provide professional administrative support for our local manufacturing production facility.
Pay Range: $22-25, depending on experience
Shift: Monday-Friday, 6:00am-2:30pm (1st shift)
Responsibilities
Personnel
Welcome and direct all job candidates to the appropriate Production Supervisor and/or Plant Manager for interview and assist with panel interviews when applicable. Send signed offer letters to the Recruiting team and Human Resources.
Complete onboarding and orientation for all new hires.
Review health insurance benefits and ensure all employees complete enrollment by the applicable deadline (new hires and open enrollment).
Manage the uniform program and ensure that all employees are receiving the appropriate uniform attire in a timely manner.
Review the time clock system (TimeClock Plus) daily to ensure all entries are inputted correctly and approved. Enter codes for any tardiness or absences and make notes accordingly.
Enter requests for time off and attendance-related paid time off (PTO) in TimeClock Plus and track accordingly. Review and monitor PTO balance reports to ensure negative vacation balances are not approved beyond -24 hours; communicate with employees regarding their vacation and personal/sick time balances to ensure no negative balances are present at the end of the calendar year.
Monitor attendance daily and input tardies and absences in TimeClock Plus, according to the company's attendance policy. Track daily headcounts by department and submit daily and weekly reports for attendance and PTO to Operations and HR.
Distribute employee attendance warnings to supervisors, verify they are completed and returned in a timely manner, and monitor warnings to ensure follow ups are consistent with past stipulations.
Organize plant lunches and morale events.
Liaison with plant team and HR Generalist to assist with local issues.
Administrative Support
Answer phones and greet customers/visitors/vendors in a professional manner.
Order supplies for office and maintenance; check and distribute mail/packages.
Create daily journals in the plant's CRM & ERP system (D365).
File invoices (weekly).
Enter paint emissions (daily).
Upload container production usage (monthly).
Upload weld wire usage (monthly).
Receive purchase orders in ScanWorX.
Print out sales orders, batch orders, production orders, and drawing packages and distribute to the correct departments.
Ship small parts/packages via FedEx.
Print labels for the shipping department.
Assist with master BOL creation and be able to assist or provide backup to Shipping department as needed.
Safety
Ensure applicable PPE (i.e., safety glasses, vests, hearing protection, etc.) is available for all visitors.
Maintain monthly safety committee meeting minutes and agenda.
Prepare weekly paperwork for Monday morning safety meetings; scan and upload all safety training paperwork to SharePoint.
Oversee and work with shop supervisors to adhere to all Safety policies; complete and send out Incident Rate Reports.
Submit weekly opportunity (safety) reports.
Maintain SDS binder.
Complete safety walks (weekly).
Manage all Hazardous Waste collection and manifests.
Ensure monthly inspections of spill kits and defibrillator are being performed.

Experience and Qualifications
Ability to manage daily workload with limited supervision.
Minimum of 2+ years of experience in an administrative role or related position.
Experience, 2+ years in a manufacturing or service environment.
High level of competency with Microsoft Suite/Word/Excel/ processing, ERP computer systems (Dynamic 365 preferred), and email.
Must be technically savvy with the ability to quickly learn new systems with limited training.
Ability to manage multiple priorities in a fast-paced environment.
Ability to maintain a high level of professionalism, integrity, and confidentiality.
Associates or Technical Degree preferred.
Bilingual (English/Spanish) preferred.
Prior experience working with Human Resources preferred.
Ability to communicate effectively (verbal and written) with all internal and external customers and leaders.
