Job Summary:

The Office of Diversity and Inclusion is seeking a highly organized and proactive Administrative Assistant to support the Chief Diversity and Inclusion Officer and the broader team. This role is critical in ensuring the smooth operation of the office and contributing to the advancement of our diversity and inclusion initiatives.

This position is designated as part-time telework per our global telework policy and will require at least three days of in-person attendance per week at the assigned office or project. Weekly in-person schedules will be determined by the individual and their supervisor, in consultation with functional or project leadership.

Major Responsibilities:

Performs calendar and meeting management. Organizes materials for in person and virtual meetings, presentations and training sessions when required. Be above average/advanced in schedule maintenance using calendar management tools (e.g., Outlook, Skype, Teams and Zoom) and operate a variety of conference/audiovisual equipment in the presentation of programs, board meetings, and conferences.

Schedules and monitors complex meetings with executive leadership and proactively supervising the calendar to anticipate needs and coordinate rescheduling.

Establishes and maintains an electronic filing system (able to identify or confirm sensitivity level).

Keeps abreast of advances in relevant office automation technology, equipment, and software applications.

May coordinate physical layout, space requirements, and personnel moves, including furniture, computers, and filing equipment.

Coordinate travel for team that may be domestic or complex international which would include air travel, ground transportation and accommodations including required documents such as visas and passport validation.

Prepares, reconciles, and tracks expense reports through the Concur Expense/Travel System.

Independently anticipates problems and changing priorities accordingly while exercising judgment in resolution, changes senior manager's schedules and commitments and alerts manager of these changes.

Collaborate with the D&I team to create documents, reports, or SharePoint Updates.

Assist with creation/modification of presentations, spreadsheets, and other various documents.

Collaborate and build a network of contacts in the Business/Functions and Partner communities to ensure efficiency in planning and coordinating.

Education and Experience Requirements:

Requires 2-4 years of related experience.

Associate degree or related technical training preferred.

Required Knowledge and Skills:

Proficient in Microsoft Office.

Advanced experience using Concur to prepare expense reports.

Skilled in word processing and composition, ability to perform intermediate mathematical calculations, and knowledge of common office processes and procedures.

Strong organizational skills and attention to detail, quality control, and deadlines.

Advanced written and oral communication skills.

Ability to handle sensitive and confidential information.

Effective team-working, interpersonal, and customer service skills.

Knowledge of diversity and inclusion principles and practices is a plus.
