Executive Assistant

Position Overview:

You will play a crucial role in ensuring the smooth operation of departmental activities by managing information flow, coordinating meetings and events, and providing administrative support. Your organizational skills and attention to detail will contribute significantly to the efficiency of our department. You will be part of a dynamic team, where collaboration and proactive communication are key to success.

YOUR TASKS AND RESPONSIBILITIES:

Assemble and analyze information, preparing reports, manuals, agendas, correspondence, and memoranda as guided by general company practice;

Establish and maintain departmental databases and develop spreadsheets important to the department;

Assist in meeting planning and preparation, including drafting agendas and broader communications;

Coordinate details of departmental meetings and on/off-site conferences and events;

Prepare materials in final form from rough drafts, utilizing technical terminology and combining materials from multiple sources;

Manage business travel arrangements;

Screen and redirect calls, take messages, handle mail;

Coordinate activities across departments and follow up to ensure requests are carried out;

Process expense reports and payment of invoices;

Interface with other assistants to share and coordinate workload;

May cross-train lower-level assistants in the department;

Perform additional accountabilities as required.

WHO YOU ARE:

Bayer seeks an incumbent who possesses the following:

High school diploma with a minimum of 8 years' relevant experience or Associate degree with 6 years' relevant experience;

Proficiency in PC applications such as Word, Excel, and PowerPoint;

Ability to manage competing priorities;

Strong interpersonal skills;

Highly organized;

Able to work with employees at all levels of the organization.
