Our ACE Controls location is seeking a highly organized and detail-oriented Project Administrator. In this role, you will ensure project documentation is maintained properly, materials and supplies are ordered, and administrative operations run smoothly to support uninterrupted production and compliance.

Key Responsibilities

Organize and maintain project files, submittals, shop technical manuals throughout their lifecycle: updating status, routing for approval, ensuring compliance.

Create submittals and O&M (Operation & Maintenance) manuals based on provided Bills of Materials (BOMs).

Order project materials and office supplies; manage purchase orders; monitor and maintain inventory levels to ensure production isn't delayed.

Keep material pricing current at all times.

Manage administrative duties: answering phones, screening calls, managing emails, reception, general office coordination.

Oversee document control and compliance; ensure deliverables meet quality standards, specifications, and requirements.

Enter new projects into the system; verify that all required documentation has been received from customers.

Qualifications & Skills

Required:

Strong organizational skills with keen attention to detail.

Experience managing technical/project documentation.

Familiarity with purchase orders, supply ordering, inventory tracking.

Comfortable working with BOMs and ensuring alignment of deliverables.

Proficient in managing email, phone, reception, general office/admin tasks.

Good written and verbal communication skills.

Proficiency with Microsoft Office (especially Excel), Adobe and document management software.

Preferred:

Prior experience in document control or project administration in a technical, manufacturing, construction-oriented, or engineering environment.

Experience with quality/compliance standards.

Familiarity with ERP or inventory systems.
