Description We are looking for a dependable Administrative Assistant to support front desk operations for an investment advisory office in Lake Elmo, Minnesota. This is a Long-term Contract opportunity suited for someone who enjoys creating a welcoming office environment, managing daily administrative tasks, and keeping workflows organized. The role requires strong judgment, attention to detail, and the ability to handle a variety of coordination duties with discretion and efficiency.

Responsibilities:

Welcome visitors and serve as the first point of contact for the office, ensuring a welcoming and friendly front desk experience.

Answer and direct incoming calls, respond to general inquiries, and relay messages accurately to the appropriate team members.

Coordinate scheduling, meeting logistics, and calendar updates to help maintain smooth day-to-day office operations.

Perform administrative support tasks such as preparing documents, filing records, and maintaining organized office systems.

Monitor shared office supplies and place replenishment requests to keep the workplace fully stocked and functional.

Assist with hiring-related administrative activities, including coordinating interview logistics and supporting onboarding paperwork as needed.

Handle incoming and outgoing mail, packages, and deliveries while maintaining accurate distribution and tracking.

Support general office coverage during a staff leave period by adapting to shifting priorities and assisting where needed. Requirements - Prior experience in an administrative assistant, receptionist, or front desk support role.

Strong verbal and written communication skills with a detail-oriented and courteous approach.

Ability to manage multiple tasks, stay organized, and maintain accuracy in a fast-paced office setting.

Proficiency with standard office software and common administrative tools.

Comfortable handling sensitive information with discretion and sound judgment.

Dependable attendance and the ability to work independently while supporting a broader team.
